Job Description:
We are seeking a highly organized, strategic, and proactive Marketing Operations Manager to serve as the central hub for our entire Marketing organization. This crucial role will focus on improving the efficiency, clarity, and effectiveness of our internal processes, project delivery, and team collaboration. The ideal candidate is a systems-thinker who can understand the unique needs of various marketing sub-teams (e.g., Content, Digital, Brand) and build integrated frameworks that ensure seamless execution toward shared business goals. Those shared business goals include but are not limited to: driving inter and intra-team transparency and unity across Marketing's higher-order objectives and tactical deliverables, KPI's, and documentation tracking so our Marketing outputs can be realized at key moments across the business, and streamlining or creating new processes to enable our scaling department.
Responsibilities:
Operational Strategy & Process Improvement
Process Design: Audit, design, and implement scalable operational processes, frameworks, and workflows (e.g., intake forms, creative briefing templates, review/approval cycles) to standardize and accelerate project delivery across all marketing sub-teams.
System Integration: Identify and integrate project management, collaboration, and reporting tools to create a unified system of record for all marketing projects.
Niche Integration: Proactively engage with various sub-team leads to understand the nuances of their work and tailor operations solutions that support their specific needs while maintaining organizational consistency.
Project Management & Execution
Integrated Work Plans: Manage the overall marketing master work plan, integrating timelines and dependencies across various campaigns, product launches, and content initiatives.
Project Governance: Oversee the end-to-end lifecycle of high-priority, cross-functional projects, ensuring on-time and on-budget delivery.
Retrospectives: Lead project post-mortems and retrospectives to capture key learnings, identify root causes of challenges, and translate insights into continuous process improvements.
Governance, Reporting, & Financial Management
Quarterly Reporting: Own the preparation and delivery of quarterly business reviews (QBRs) and executive reports, synthesizing key performance indicators (KPIs), project status, and operational health for leadership.
Team Governance: Manage the rhythm of the business, including establishing meeting cadences, developing comprehensive agendas, tracking action items, and ensuring timely follow-up for leadership and all-hands team meetings.
Budget Tracking: Partner with Finance and Marketing leadership to track, forecast, and reconcile the marketing budget, ensuring spend is aligned with strategic priorities.
Team Planning: Facilitate and manage the annual and quarterly team planning process (e.g., OKR setting, resource allocation), translating strategic goals into actionable projects and resource plans.
Required Skills & Experience:
Bachelor's degree in Marketing, Business Administration, or a related field.
6 to 8 years of experience in Project Management, Operations Management, or a similar role, preferably within a fast-paced Marketing or Creative environment.
Proven ability to design and implement effective workflow processes and operational frameworks.
Expert proficiency with project management software (e.g., Asana, Jira, Trello, Wrike) and reporting tools.
Exceptional communication, negotiation, and stakeholder management skills, with the ability to influence and align diverse teams.
Strong analytical and quantitative skills; ability to use data (including budget data) to drive decision-making and report on team performance.
Preferred Qualifications:
PMP, Agile, or equivalent project management certification.
Experience administering or optimizing Marketing Automation Platforms (MAP) or other MarTech tools.
