GENERAL SUMMARY
The Marketing Assistant supports the Firm’s marketing operations across multiple divisions, including Branding and Design, Communications, Growth Strategy Enablement and Client Experience, and Knowledge Management and Pursuits. This role provides broad exposure to the Firm’s marketing functions and is designed to develop a well-rounded understanding of marketing within the architecture and engineering industry.
The Marketing Assistant plays an active role in supporting proposals, qualification packages, presentations, communications materials, branding initiatives, and knowledge management efforts. This position works collaboratively with marketing professionals, architects, engineers, and technical staff to help communicate the Firm’s capabilities, project experience, and brand identity effectively and consistently.
Over time, this role is expected to transition into a more focused position within the Communications division, supporting internal and external communications initiatives, content development, and digital engagement strategies.

ESSENTIAL DUTIES
The following responsibilities define the core expectations of this role. The Marketing Assistant is expected to perform these duties with a high level of organization, professionalism, creativity, and attention to detail.
Mar
keting and Pursuit Support
Assist in the preparation, coordination, and production of proposals, qualification packages, presentations, and other pursuit-related deliverables
Support the development of marketing materials that clearly communicate the Firm’s experience, services, and value to clients
Coordinate with technical staff, architects, and engineers to gather project information and supporting content for marketing efforts
Assist with formatting, editing, and organizing pursuit documentation to ensure consistency with Firm standards and branding
Support award submission preparation and related marketing initiatives
Communications and Content Development
Assist in the development of written communications materials, including press releases, newsletters, announcements, blog posts, and internal communications
Support the creation and editing of social media content and digital communications materials
Help maintain consistency in messaging, tone, and visual identity across all communications platforms
Contribute to storytelling efforts that highlight the Firm’s projects, culture, expertise, and accomplishments
Assist with website updates and other digital communication initiatives as needed
Branding and Design Support
Support branding and visual communication efforts for presentations, collateral materials, and marketing campaigns
Assist with graphic layout and content organization for print and digital materials
Help maintain consistency with the Firm’s branding standards across all marketing assets
Participate in visual storytelling efforts that enhance the Firm’s market presence and client engagement
Research and Knowledge Management
Conduct research to support business development efforts, marketing campaigns, pursuits, and award submissions
Assist in maintaining and organizing marketing resources, including project information, resumes, content libraries, and knowledge management systems
Support updates and organization within SharePoint and other internal databases or content management platforms
Help ensure that marketing information and project data remain accurate, current, and accessible
Collaboration and Professional Development
Collaborate with marketing team members and technical staff across multiple disciplines and offices
Gain exposure to growth strategy initiatives, client experience efforts, and pursuit planning processes
Support a collaborative and team-oriented work environment
Demonstrate a willingness to learn and grow within the Firm’s marketing organization
Participate in departmental meetings, planning discussions, and marketing initiatives as assigned
Assist with the preparation and coordination of marketing materials, including proposals, qualification packages, and presentation decks.
Support the creation of compelling written content that clearly communicates our services and project experience.
Collaborate with architects, engineers, and technical staff to gather project details and translate them into clear, client-focused marketing language.
Help maintain internal marketing resources and content libraries, such as OneNote or SharePoint.
Assist with the composition of firmwide communications such as press releases, newsletters (like the GF Gazette), and other announcements.
Conduct background research for pursuits, award submissions, and marketing campaigns.
Support social media, website updates, and content development as needed.
Additional duties as assigned.
REQUIRED SKILLS AND ABILITIES
Strong writing, editing, and proofreading skills with attention to tone, clarity, grammar, and consistency
Excellent verbal and written communication skills
Strong organizational skills with the ability to manage multiple deadlines and priorities in a fast-paced environment
Highly organized, detail-driven, and conscientious
Ability to work collaboratively and professionally across teams and disciplines
Self-starter with a positive attitude, strong initiative, and willingness to learn
Ability to communicate effectively with technical and non-technical team members
Interest in content creation, communications, branding, and visual storytelling within the architecture and engineering industry
Ability to maintain professionalism through reliability, integrity, responsiveness, and thoughtful communication
Proficiency in Microsoft Office 365 applications, including Word, PowerPoint, Outlook, and Excel
Familiarity with Adobe Creative Suite, particularly InDesign, preferred
Familiarity with content management and scheduling platforms such as Planable or similar tools preferred
Familiarity with editing and visual content tools such as Canva, CapCut, or similar platforms preferred
Experience with SharePoint or other content management systems preferred
EDUCATION AND EXPERIENCE
Bachelor’s degree in Marketing, Communications, Journalism, Public Relations, or a related field.
Internship or relevant academic experience in marketing, communications, or the architecture, engineering, and construction industry preferred.
