Position Overview
We are seeking a highly organized, detail-oriented, and tech-savvy Proposal Coordinator to support the full lifecycle of proposal development while also contributing to content, messaging, and digital enablement efforts.

This role blends proposal coordination, writing/editing, compliance management, and business development support with emerging capabilities in AI-driven content creation, digital marketing alignment, and process automation.

The ideal candidate thrives in fast-paced, deadline-driven environments, is comfortable working cross-functionally, and is excited about leveraging AI and modern tools to improve proposal quality and efficiency.

Key Responsibilities
Proposal Development & Coordination

Support the full proposal lifecycle from pre‑RFP through submission

Develop and maintain proposal schedules, compliance matrices, and outlines

Coordinate proposal activities including kickoff meetings, color reviews, and final production

Track deliverables, manage deadlines, and ensure timely submission of all proposal volumes

Facilitate data calls and consolidate inputs from SMEs, subcontractors, and stakeholders

Assist in coordinating editing, formatting, graphics, and desktop publishing

Content Development & Editing

Write, edit, and proofread proposal content, including technical and past performance sections

Develop compelling messaging aligned to win themes, client requirements, and evaluation criteria

Support development of executive summaries, value propositions, and customer-facing content

Ensure quality, consistency, compliance, and clarity across all deliverables

Translate complex technical information into clear, engaging, and persuasive content

Compliance & Documentation Management

Analyze RFPs, RFIs, and RFQs to ensure full compliance with solicitation requirements

Maintain organized document repositories (SharePoint, proposal libraries, etc.)

Ensure version control, formatting consistency, and adherence to proposal standards

Manage templates, graphics logs, and documentation processes

Capture & Business Development Support

Support opportunity tracking, pipeline management, and market research

Assist with capture planning, including opportunity qualification and strategy development

Research procurement portals (e.g., SAM.gov, GovWin) to identify opportunities

Contribute to RFIs, white papers, and pre-proposal efforts

Support development of content libraries and reusable proposal assets

AI, Automation & Process Optimization

Use AI tools (e.g., ChatGPT, Claude) to support content development, research, and proposal strategy

Identify opportunities to automate repetitive tasks and improve proposal workflows

Support implementation of tools for scheduling, document management, and collaboration

Recommend new technologies to improve efficiency, quality, and team output

Stakeholder Coordination

Serve as liaison between Proposal Managers, Capture teams, SMEs, and subcontractors

Coordinate cross-functional inputs from technical, pricing, contracts, and marketing teams

Communicate timelines, risks, and status updates to leadership and stakeholders

Required Qualifications

2–8+ years of experience in proposal coordination, proposal writing, or business development support

Experience supporting federal government (GovCon) proposals preferred

Strong understanding of the RFP lifecycle and compliance requirements

Excellent writing, editing, and proofreading skills

Strong organizational skills with the ability to manage multiple deadlines

Experience working in fast-paced, deadline-driven environments

Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)

Preferred Qualifications

Experience with Shipley Method or similar proposal processes

Familiarity with tools such as SharePoint, Zoho, or other proposal platforms (e.g., Loopio)

Experience supporting capture activities or managing smaller proposals
