We are currently looking for a Facilities Rep to join our BAE Systems Maritime Solutions SD Facilities Department.

As a Facilities Rep, you will coordinate activities between departments and outside parties, contact company personnel at all levels to gather information and prepare reports, manage databases, and develop recommendations.

Key Responsibilities

Provide expert‑level administrative support to multiple leaders, including calendar management, meeting scheduling, meeting support and expense reporting.

Develop and implement effective administrative processes and procedures to enhance business operations and productivity.

Utilize advanced technical skills to create complex reports, presentations, and correspondence, including data analysis and visualization.

Serve as a liaison between leaders, teams, and stakeholders, ensuring seamless communication and coordination.

Coordinate and execute high‑profile events, meetings, and conferences, both on and off‑site.

Leverage cutting‑edge collaboration tools like MS Teams, SharePoint, and more to create a seamless and connected team experience.

Maintain advanced‑level proficiency in MS Office, including Teams, Outlook, Word, Excel, PowerPoint, and other software applications.

Analyze and recommend process improvements, implementing changes to drive efficiency and effectiveness.

Collaborate with cross‑functional teams to achieve business objectives, providing administrative support and guidance as needed.

Support a team with real impact on business growth, employee experience, and operational excellence.

Work with leaders who value initiative, judgement, and partnership.

Be trusted to manage priorities, anticipate needs, and help drive outcomes.

Manage leaders’ calendars for effective and efficient time management.

Schedule meetings and meeting logistics (teleconference, audio‑visual equipment, food, etc.) independently.

Manage visitor logistics and incoming calls, emails, and meeting requests.

Prepare organizational memos given draft inputs from leadership and execute distribution.

Work under general direction using business software applications (Word, Excel, PowerPoint) to create and enhance correspondence, reports, data tables, presentations, agendas, etc., that may be of a highly confidential nature.

Organize and lead preparation of key meeting arrangements such as staff meetings, program reviews, customer meetings and visits, and employee all‑hands meetings; may be responsible for special projects such as conferences and events.

Set up systems to promote collaboration among the leadership team – SharePoint, Teams channels, meeting spaces, and other applications; desire to learn development, setup, and maintenance of these applications in support of creating a more efficient, connected team.

Additional Qualifications / Responsibilities

A bachelor’s degree or associate degree and 1 year of experience in an administrative role, or a high school diploma plus 3 years of experience.

Highly skilled in office automation tools, such as the Microsoft Office suite of products.

Proactive, anticipates needs, and works with minimal supervision.

High degree of tact, diplomacy, discretion, and judgement required.

Excellent communication and interpersonal skills for interacting professionally with employees and external contacts at all levels, including senior management.

Ability to multitask and plan and organize in a fast‑paced environment is critical.

Thorough understanding of business practices and procedures, including compliance with company policies.

Full‑Time Salary Range: $63,454 – $101,526
