Responsibilities
35% Event Strategy, Planning & Production – Plan, manage, and execute departmental events (lecture series, exhibitions, final reviews, symposia, faculty searches, and special programs). Develop timelines, production schedules, run‑of‑show documentation; coordinate venues, AV services, catering, travel, honoraria, contracts, and facilities logistics; manage related budgets, payments, and financial reporting. Consult with faculty and stakeholders on event objectives, scope, and resource needs. Handle scheduling, advertising, participant coordination, and guest arrangements, including travel for visiting critics and speakers. Establish procedures for event supplies, materials, and equipment; anticipate production challenges, develop contingency plans, and resolve logistical and operational issues. Evening and weekend hours required as needed.
30% Digital Media & Content Development – Create and execute integrated digital media and content strategies for departmental events and initiatives. Produce multimedia communications across social media, web, email campaigns, digital signage, and print. Capture and coordinate photography and video documentation. Work with student assistants and videographer to generate high‑quality content. Manage editorial calendars, distribution strategies, and social media features. Maintain organized digital asset libraries with appropriate metadata. Design and produce posters, newsletters, website content, and visual materials; oversee public‑facing visual identity across web platforms and displays. Promote exhibitions and events through multiple channels; oversee collection, formatting, storage, and publication of student and faculty work.
15% Primary Point of Contact – Coordinate communications with faculty, guest speakers, critics, and exhibitors. Serve as liaison between faculty, students, and administrative units; interpret and apply university policies and procedures related to events, travel, and entertainment. Direct individuals to campus resources as needed. Manage facilities and space logistics, audiovisual equipment, and other setup requirements to ensure effective and compliant operations.
10% Budget & Reporting – Develop and prepare budgets, ad‑hoc reports, vendor payments, or honoraria requests.
5% Communications & Improvements – Identify specific communications needs; develop content and process for organizational improvements. May supervise a small staff of student employees.
5% Other Duties – Analytical duties as required; serve on department committees and report to the Chair and MSO.
Required Qualifications
In‑depth knowledge of event planning and public relations, including event design, organization, and production.
Knowledge of university rules and regulations for travel, entertainment, honoraria, and administration.
Ability to manage multiple concurrent projects with competing deadlines.
Strong judgment, decision‑making, and problem recognition/resolution skills.
Ensures production of high‑quality products within budget and time constraints.
Excellent design aesthetic for creating department media.
Strong communication, outreach, and organizational skills; familiarity with digital asset management systems.
Solid written, verbal, interpersonal communication, active listening, and political acumen.
Knowledge of design concepts and media applications; technical skills and fluency in software for print and online.
Experience with administrative operations (event planning, risk management, entertainment/travel, graphic/website design).
Ability to work collaboratively and independently to solve problems.
Bachelor’s degree in a related area and/or equivalent experience or training.
Preferred Qualifications
Experience in an academic, cultural, or design‑focused environment.
Experience supervising student staff or coordinating creative teams.
Familiarity with architecture, design pedagogy, or exhibition practices.
Salary & Benefits
The budgeted annual salary range is $81,500 – $98,000.
