Department Overview
The College of Engineering occupies ten buildings on campus and has extensive facilities at the Richmond Field Station. It employs more than 220 regular faculty, 1,600 graduate students and 2,700 undergraduate students across seven academic departments. A multi‑unit Dean’s Office provides administrative, student services, development and capital projects support. The operations and facilities management team for the Richmond Field Station oversees maintenance of over 80 buildings and structures, an operating budget of approximately $2 million and a staff of about 12 people.
Position Overview
This role manages the day‑to‑day functions of the Richmond Field Station, including procurement, financial administration, tenant coordination and facilities‑related projects. The incumbent oversees budget tracking and reconciliation, supports contract and grant administration, coordinates operational processes, develops policies, leads process‑improvement initiatives, and manages tenant relationships and space planning. The position also provides guidance across administrative, HR and project activities to ensure effective and compliant operations.
Responsibilities
Manage daily operations, including procurement, project management, and non‑technical support for contracts and grants; develop and monitor policies and procedures; update website content and communicate with the RFS community.
Manage third‑party tenants; ensure compliance with lease agreements and use permits; assist Real Estate and campus partners with new tenant leases; gather space‑logistics information; prepare short‑ and long‑term planning for operations and process improvements.
Administer equipment inventory via the BETS system; track departmental equipment; create and analyze financial reports; perform budget reconciliation, recharge administration and forecast future procurement needs; support complex budgeting and grant administration; analyze resource allocations and cost‑savings opportunities.
Coordinate high‑level meetings with the Dean’s Office and campus leadership; serve on committees, manage fundraising initiatives, and support student‑run organizations on campus.
Provide HR coordination for employment, training, payroll documentation and job postings; summarize financial and HR reports; ensure mandatory training and staff development compliance; oversee a small staff of support employees and student workers.
Assist leadership with project planning for departmental moves and infrastructure upgrades; attend project meetings; schedule vendors; issue purchase orders; ensure projects stay within budget; provide policy analysis on building‑management procedures and adherence to UCOP and UC Berkeley policies.
Required Qualifications
Bachelor’s degree in a related field or equivalent experience and training.
Thorough knowledge of university rules, regulations, protocols and procedures for budgeting, accounting, fund management and personnel management.
Strong interpersonal skills, including verbal and written communication, active listening, critical thinking, persuading, advising and counseling.
Knowledge of administrative operational activities such as event planning, fundraising processes, risk‑management planning, web design, accounting and payroll, and contracts and grants regulations.
Proficient use of common university‑specific computer applications.
Discretion and confidentiality.
Strong short‑term planning, analysis, problem‑solving and customer‑service skills.
Knowledge of financial analysis, reporting techniques, or human‑resources policies and procedures for staff and academic employees.
Salary & Benefits
The budgeted salary range is $97,572.24 (Step 1) to $118,932.48 (Step 11) yearly. This is a 100 % FTE career position eligible for full benefits and paid monthly.
