Summary
The Communications & Administration Coordinator supports the Portsmouth Communications and Administration team by assisting with internal communications activities and providing day-to-day administrative support. This role focuses on content formatting, publishing, coordination, scheduling, and organizational tasks to ensure accurate, timely, and effective communication delivery while supporting team operations and site initiatives.

Responsibilities
Internal Communications Support

Assist with drafting, formatting, and publishing content for internal communication channels such as intranet articles, newsletters, and digital signage

Support updates and maintenance of the Portsmouth intranet (CoLab), ensuring content is accurate and current

Proofread and edit communication materials for clarity, consistency, and adherence to corporate style guidelines

Compile stakeholder content submissions and prepare materials for review and publication

Support internal communication campaigns, events, and volunteer initiatives by preparing communication materials

Administrative & Operational Support

Provide general administrative support including scheduling meetings, managing calendars, and tracking deliverables

Maintain communication calendars and shared documentation for planning and reporting purposes

Coordinate logistics for site events, meetings, and communication activities

Support data tracking and reporting by compiling engagement metrics and participation data

Perform additional duties as assigned

Required Skills

Associate’s or Bachelor’s degree in Communications, Business Administration, or a related field preferred

0–2 years of experience in communications, administrative support, or a related role

Strong written and verbal communication skills with excellent attention to detail

Basic copyediting and proofreading abilities

Strong organizational and multitasking skills with the ability to manage deadlines

Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel)

Familiarity with SharePoint, intranet platforms, or content management systems preferred

Strong collaboration and customer-service mindset when working with internal stakeholders

Ability to follow established processes and work effectively under close supervision
