has several years of administrative and program coordination experience, demonstrates strong organizational and communication skills, and is comfortable supporting both small meetings and large-scale events. Experience with Microsoft Office and collaboration tools, operational coordination, and interest in life science and data science are important, along with professionalism, discretion, and the ability to independently manage logistics and audiovisual setup after training.
Minimum $53,000 — Midpoint $66,000 — Maximum $79,000 per hour based on a 40-hour work week
Work location: Hybrid onsite/remote, with onsite work required 2–3 days per week.

Responsibilities
Program & Event Coordination
Coordinate hosted and sponsored meetings and events, including site logistics, registration, booth setup, audiovisual setup, and associated ordering
Support meetings ranging from small groups to events with several hundred attendees
Prepare agendas and materials, manage attendee registration, and support onsite execution
Ensure meeting and event setup is completed accurately and on time
Project & Operational Support
Track and report across projects, maintaining lists of priorities, action items, and activities
Gather project status updates, capture risks, and report progress
Coordinate with IDSO leadership to maintain priorities for engagements and program initiatives
Support general operational needs including travel support, reservations, and resource management
Scheduling & Communications
Schedule meetings, manage calendars, and coordinate availability across stakeholders
Prepare and assemble meeting materials and information packets
Capture, format, and disseminate detailed meeting minutes, summaries, and follow‑up actions
Liaise with program area leads to maintain awareness of needs and priorities
Content & Resource Management
Create, edit, and format PowerPoint presentations, flyers, fact sheets, white papers, posters, and other materials
Manage digital resources to support coordinated use of IDSO-generated content
Collect, organize, and disseminate IDSO materials and impact summaries
Maintain lists of IDSO opportunities for potential projects or initiatives
Administrative & Professional Support
Prepare expense reports, purchase orders, and administrative reports
Assist with protocol and welcoming of visitors and meeting attendees
Maintain faculty curriculum vitae, biosketches, and supporting documentation
Assist with grant submission coordination, policies, procedures, and educational materials
Perform other duties as assigned
Education
Required: Bachelor’s Degree Business Administration or related field.
Preferred: Master’s Degree
Work Experience
Required: 3 years Project/program coordination experience. or
Required: 1 year Required experience with Master’s degree
May substitute required education degree with additional years of equivalent experience on a one-to-one basis.
Preferred: 5 years Administrative experience
Personable and able to meet and host visitors professionally
Detail oriented to attend to assuring setup of meetings and events will go smoothly
Familiarity with office suite products including MS Outlook for preparing materials
Familiarity with Teams and Sharepoint.
Background and interest in life science and data science
Professional discretion to be in the loop on sensitive discussions and topics
Ability to work technically and setup AV equipment – initially with training but then independently
