Position Summary
The Operations & Marketing Coordinator supports leasing operations, property management systems, and marketing accuracy across the organization. This role helps ensure accurate data, consistent workflows, and a positive prospect-to-move-in experience by supporting system usage, leasing follow-up, marketing content accuracy, and routine reporting.

Essential Duties and Responsibilities

Maintain accurate records in property management and CRM systems, including prospects, applicants, residents, units, leases, and move-ins.

Review and monitor leasing, prospect, resident, and move-in activity to ensure accuracy, timely follow-up, and compliance with company procedures.

Support leasing teams by helping maintain accurate availability, pricing, approved communication templates, leasing scripts, and follow-up processes.

Assist with monitoring the prospect-to-move-in lifecycle from initial inquiry through lease execution and move-in completion.

Provide basic system and software support to site teams and elevate more complex issues as needed.

Support system and process improvements by assisting with software updates, process changes, training needs, and company-wide initiatives.

Maintain accurate property listings and marketing content across websites, listing platforms, internet listing services, and marketing materials.

Review online listings and advertising for accuracy related to pricing, availability, amenities, photos, floor plans, and property descriptions.

Monitor property-level marketing and branding consistency in accordance with approved messaging and presentation standards.

Prepare and maintain leasing and marketing reports, including summaries of activity, conversions, availability, move-ins, and performance trends.

Support the Director of Property Management with reporting, data review, audits support, operational follow-up, special projects, and ongoing development of the role.

Complete additional duties and projects as assigned.

Minimum Qualifications

High school diploma or equivalent required; associate’s degree or coursework in business, real estate, marketing, or a related field is a plus.

1–3 years of experience in administrative support, leasing, property management, customer service, marketing support, or a related role.

Ability to work independently with minimal supervision while contributing effectively as part of a team.

Strong organizational and time‑management skills with the ability to manage multiple priorities and work effectively under pressure.

High attention to detail with sound judgment and the ability to handle confidential information professionally.

Strong customer service skills and professional communication with internal and external stakeholders.

Comfortable working in software systems, including Microsoft Office (Excel, Word, Outlook), with the ability and willingness to learn new tools and workflows.

Demonstrates professionalism, integrity, respect, and a positive, team‑oriented approach.

Valid driver’s license and reliable access to a vehicle.

Preferred Qualifications

Exposure to property management, leasing, real estate, housing, or multi‑site operations.

Familiarity with property management software, CRM systems, or leasing platforms (training provided).

Experience reviewing data or reports for accuracy, consistency, or basic trend identification.

Interest in operations, systems, process improvement, or marketing analytics.

Experience supporting marketing updates, online listings, or customer‑facing materials.

Comfort working with reports, spreadsheets, or basic data tracking.

Interest in growing into expanded responsibilities within leasing operations or property management and marketing support.

Essential Physical Qualifications

Bending, climbing stairs, kneeling, lifting to 15 pounds, stretching, squatting, and walking.

Non‑Essential Physical Qualifications

Running and lifting over 15 pounds.

Recommend changes to the position and job duties which will improve efficiency and safety.

Summary
Must have reliable transportation and a valid driver's license with an acceptable driving record.
