Communications Coordinator is responsible for planning, managing, and executing Capstones full portfolio of investor eventsincluding in-person, hybrid, and virtual formatswhile supporting the broader Marketing

Communications teams digital marketing and thought leadership initiatives. This role sits at the intersection of event management and marketing, requiring seamless collaboration across internal teams and external stakeholders to enhance investor engagement, drive sponsorship revenue, and elevate Capstones brand presence./ppReporting to the Head of Communications

Marketing, this role will work closely with Client Solutions, Graphic Design, Legal

Compliance and more to deliver high-impact events and marketing campaigns that align with Capstones strategic objectives./ph3Responsibilities and Impact:/h3pEvent Management/pulliEvent Planning

Execution: Plan, manage, and oversee all phases of investor events across multiple formats, including webinars, breakfasts, lunches, dinners, roundtables, and large-scale summits (300+ attendees)/liliAttendee Management: Collaborate with the Client Solutions team to develop and vet attendee lists using Cvent, Backstop, and other event management platforms/liliSponsorship

Revenue Generation: Cultivate and maintain relationships with banks, exchanges, vendors, and investors to secure sponsorship dollars and drive event attendance. Target: $650K in GVS sponsor dollars and 3 new managers for GVS in 2026/liliVendor

Venue Management: Source and secure venues, catering, speakers, vendors, and necessary supplies. Lead contract negotiations to ensure terms align with budgetary constraints and event requirements/liliBudget Management: Manage event budgets using Excel, working closely with accounts payable to track sponsorship funds, expenses, and budget overflow. Oversee the accounts payable process to ensure timely vendor payments and receipt of sponsorship fees/liliSpeaker Coordination: Source, prepare, and support speakers to ensure successful presentations and compelling event agendas./liliReporting

Analytics: Report weekly on event attendees using event registration platforms and CRM systems (Cvent, Backstop). Develop comprehensive reports for stakeholder review/liliProcess Optimization: Drive 20% automation and 100% centralization of event processes (internal and external events). Implement Cvent/Backstop API integration and transition to a new webcast provider in 2026/li/ulpMarketing

Communications Support/pulliDigital Marketing for Events: Develop and execute digital marketing campaigns to promote events, including LinkedIn posts, email invitations, reminders, and distribution list management/liliThought Leadership Content: Support the development of compelling event agendas, including speaker sourcing, topic ideation, and speaker preparation to position Capstone as a thought leader in the investment community/liliWebsite Management: Update and maintain event pages, registration forms, and related web content to ensure a seamless user experience/liliCommunication Strategy: Develop and implement comprehensive communication strategies across websites, invitations, reminders, and social media channels to maximize event attendance and engagement/liliBrand Compliance: Collaborate with the Graphic Designer to ensure all event materials adhere to Capstones Brand 2.0 guidelines/li/ulh3Our Future Colleague Has These Skills:/h3ulli2-4 years of experience in event management, preferably in investor relations, corporate events, or the financial services sector/liliProven track record of managing large-scale events (100+ attendees) across in-person, hybrid, and virtual formats/liliStrong budget management skills, including experience tracking expenses, managing vendor payments, and optimizing costs/liliProficiency in event management platforms (Cvent preferred) and CRM systems (Backstop or similar)/liliExcellent negotiation skills and experience managing vendor relationships/liliStrong project management abilities with the capacity to manage multiple events simultaneously and meet tight deadlines/liliExceptional communication and collaboration skills, with the ability to work cross-functionally across teams/liliExperience with digital marketing and social media promotion (LinkedIn, email campaigns)/li/ulh3Benefits

The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis.
