POSITION OVERVIEW
The Program & Operations Coordinator plays a critical dual role at the Community Building Initiative, supporting internal operations of the organization and the delivery of its core programs. The position requires a highly organized, professional focused on the community who can manage administrative and financial functions while simultaneously supporting leadership development, community engagement, and equity programming. The ideal candidate is a native or resident of Charlotte with deep knowledge of the community, a trauma-informed approach, and a genuine commitment to CBI's mission of equipping individuals with the correct dialogue and tools to further equity across Charlotte.

JOB DESCRIPTION

Community Programs & Leadership Development Support
Serve as primary point of contact for CBI Leadership Development Initiative classes; manage recruitment, onboarding, scheduling, communications, and graduation
Coordinate class sessions end-to-end: secure locations, manage catering and materials, support facilitators, track participation and evaluation
Support the Leaders Under 40 (LU40) program including sponsor relationships, curriculum planning, and session logistics
Coordinate Equity Impact Circles, Bus Tours, Stakeholders Breakfast, and Community Dialogues: manage invitations, RSVPs, logistics, day-of coordination, and evaluation
Monitor local news and media outlets for CBI-related coverage; support social media and website updates
Office & Administrative Support
Have familiarity maintaining accurate financial records in QuickBooks Online; reconcile bank statements
Manage and administer daily office operations related to payroll, vendor payments, insurance, etc.
Manage office supplies, equipment maintenance, and vendor relationships
Deliver board and executive committee support: meeting prep, minutes, materials, governance documentation, and conflict of interest forms
Provide administrative support to the Executive Director as needed

Development & Fundraising Support
Track gifts and maintain donor records in eTapestry; prepare pledge reminders, write-offs, and gift acknowledgments
Coordinate bi-annual postal mailings and support communications
Prepare monthly fundraising progress reports and support donor relations and community partnerships
QUALIFICATIONS
Native or resident of Charlotte with strong knowledge of the local community and engagement practices
3+ years of experience in nonprofit operations, program coordination, or a related field
Proficiency in accounting software (QuickBooks Online) and payroll platforms (ADP or similar)
Proficiency in Microsoft Office Suite including Word and spreadsheet applications
Strong logistics management skills: event planning, materials coordination, scheduling, and vendor management
Excellent written and verbal communication skills; both up and down the organization
Demonstrated commitment to equity, trauma-informed practice, and community-centered work
Analytical thinker and proactive planner; coachable, adaptive, and flexible
Ability to travel locally on a frequent basis
Knowledge of relevant policy and nonprofit compliance requirements (IRS 5500, Form 990, solicitation licensing)
PREFFERED
Experience QuickBooks, WorkSmart, Canva, and/or MailChimp+
Program management and/or training/facilitation experience+
Bilingual+
Fundraising or development experience+
General understanding of social media (LinkedIn, Instagram, and Facebook)+
SALARY RANGE:

$45,000-65,000
REPORTS TO:

Executive Director
SUPERVISORY RESPONSIBILITIES:

None currently

WORK ENVIRONMENT:

Work is performed remotely, in the CBI office, and at various locations around the community.

Travel outside the greater Charlotte area is not generally expected.
PHYSICAL DEMANDS:

Lifting/carrying, loading/unloading meeting materials and supplies up to 25 pounds.
POSITION TYPE & EXPECTED HOURS OF WORK:

Full Time / 40 hours per week. Typically 9:00 – AM – 5:00 PM Monday-Friday. xsgimln Some work/programs may occur outside normal business hours and/or on weekends.
