Overview
The Marketing & Communications Coordinator is responsible for planning, managing, and executing Capstone's full portfolio of investor events—including in-person, hybrid, and virtual formats—while supporting the broader Marketing & Communications team's digital marketing and thought leadership initiatives. This role sits at the intersection of event management and marketing, requiring seamless collaboration across internal teams and external stakeholders to enhance investor engagement, drive sponsorship revenue, and elevate Capstone's brand presence.
Reporting to the Head of Communications & Marketing, this role will work closely with Client Solutions, Graphic Design, Legal & Compliance and more to deliver high-impact events and marketing campaigns that align with Capstone's strategic objectives.
Responsibilities And Impact
Event Management
Event Planning & Execution: Plan, manage, and oversee all phases of investor events across multiple formats, including webinars, breakfasts, lunches, dinners, roundtables, and large-scale summits (300+ attendees)
Attendee Management: Collaborate with the Client Solutions team to develop and vet attendee lists using Cvent, Backstop, and other event management platforms
Sponsorship & Revenue Generation: Cultivate and maintain relationships with banks, exchanges, vendors, and investors to secure sponsorship dollars and drive event attendance. Target: $650K in GVS sponsor dollars and 3 new managers for GVS in 2026
Vendor & Venue Management: Source and secure venues, catering, speakers, vendors, and necessary supplies. Lead contract negotiations to ensure terms align with budgetary constraints and event requirements
Budget Management: Manage event budgets using Excel, working closely with accounts payable to track sponsorship funds, expenses, and budget overflow. Oversee the accounts payable process to ensure timely vendor payments and receipt of sponsorship fees
Speaker Coordination: Source, prepare, and support speakers to ensure successful presentations and compelling event agendas
Reporting & Analytics: Report weekly on event attendees using event registration platforms and CRM systems (Cvent, Backstop). Develop comprehensive reports for stakeholder review
Process Optimization: Drive 20% automation and 100% centralization of event processes (internal and external events). Implement Cvent/Backstop API integration and transition to a new webcast provider in 2026
Marketing & Communications Support
Digital Marketing for Events: Develop and execute digital marketing campaigns to promote events, including LinkedIn posts, email invitations, reminders, and distribution list management
Thought Leadership Content: Support the development of compelling event agendas, including speaker sourcing, topic ideation, and speaker preparation to position Capstone as a thought leader in the investment community
Website Management: Update and maintain event pages, registration forms, and related web content to ensure a seamless user experience
Communication Strategy: Develop and implement comprehensive communication strategies across websites, invitations, reminders, and social media channels to maximize event attendance and engagement
Brand Compliance: Collaborate with the Graphic Designer to ensure all event materials adhere to Capstone's Brand 2.0 guidelines
Our Future Colleague Has These Skills
2-4 years of experience in event management, preferably in investor relations, corporate events, or the financial services sector
Proven track record of managing large‑scale events (100+ attendees) across in-person, hybrid, and virtual formats
Strong budget management skills, including experience tracking expenses, managing vendor payments, and optimizing costs
Proficiency in event management platforms (Cvent preferred) and CRM systems (Backstop or similar)
Excellent negotiation skills and experience managing vendor relationships
Strong project management abilities with the capacity to manage multiple events simultaneously and meet tight deadlines
Exceptional communication and collaboration skills, with the ability to work cross‑functionally across teams
Experience with digital marketing and social media promotion (LinkedIn, email campaigns)

Base salary range: $70,000 – $100,000 USD, determined by experience, skills, and location. Additional performance‑based incentives may apply.
