About the role
The Proposal Coordinator is responsible for creating visually engaging and strategically aligned proposals for projects valued between $500,000 and over $100 million. The coordinator translates technical information into client-focused RFP/Q responses. This role owns proposal production from kickoff through final submission and oversees 3–5 pursuits at a time.

Essential Functions

Organize proposal schedules, contributor assignments, deliverables, and submission requirements across multiple pursuits.

Create proposal layouts in Adobe InDesign to produce polished, visually appealing, compliant submissions.

Translate complex technical information into clear, client-centered communications using graphic design and storytelling.

Emphasize win themes, differentiators, and client priorities while adhering to brand voice and maintaining consistency.

Edit and refine proposal content for clarity, readability, and overall impact.

Incorporate feedback and balance contributor requests with schedule commitments and submission requirements.

Prepare interview slide decks, printed materials, and other pursuit-related collateral.

Manage assets, content libraries, resumes, and project profiles to support efficient pursuit processes and knowledge sharing.

Create and update qualification packages, case studies, and other project marketing materials.

Utilize approved tools and technology to streamline workflows.

Provide marketing support beyond pursuits when necessary.

Requirements

3–5+ years of experience in proposal coordination, marketing, communications, graphic design, or a related field; AEC industry experience preferred.

Bachelor's degree in marketing, communications, business, graphic design, or related field.

Proficiency in Adobe InDesign; experience with Photoshop, Illustrator, CC Libraries, and related design tools required.

Proficiency with Microsoft Office, including Word, Excel, PowerPoint, SharePoint, Lists, and the broader suite of Office 365 apps.

Experience using OpenAsset, Shred.ai, and AI-assisted tools, with the ability to distinguish between generic content and meaningful, persuasive writing that advances pursuit strategy and resonates with clients.

Strong graphic design skills with the ability to translate complex information into clear, compelling layouts.

Excellent written and verbal communication skills, including editing, content refinement, and the ability to give and receive feedback constructively.

Demonstrated ability to produce high-quality proposal deliverables while managing multiple priorities, shifting deadlines, and competing requests.

Ability to balance established brand standards, boilerplate, and messaging with creativity and innovation.

Strong organization, critical thinking, resourcefulness, and clear communication.

Collaborative, relationship-focused mindset with the ability to build trust and productive working relationships across teams.

Highly organized, meticulous, adaptable, and able to exercise sound judgment in a demanding environment.

Demonstrated ownership, initiative, and accountability with the ability to proactively solve problems, follow through on commitments, and drive work forward with minimal oversight.

Work Environment
This is a full-time in-person role based in our Fort Collins office.

Salary
Range of $70,000 to $90,000 annually. Salary is commensurate with technical skills and experience.
