Job Description
Position Duration:

26/27 Fall Season

Purpose:

The High School Athletic Event Manager will help provide a safe, well‑organized event for student athletes and event attendees and provide support as directed by High School Administration at athletic events.

Essential Functions:

(This list is not exhaustive and may be supplemented as necessary)

Check gym/field setup to ensure the game area is ready at least 45 minutes prior to contest.

Be available one hour before the first event or game of the evening.

Assist with the set‑up of athletic fields/game areas per the administrator’s direction and coordinate with custodial staff.

Welcome and greet officials, unlock officials’ changing area before, during, and after the game, and provide water and other needs as requested.

Welcome and greet visiting teams, coaches, and administrators, ensuring a clean locker room facility and proper lock/unlock procedures.

Monitor fan management, ensuring seating compliance and respectful behavior, including restrictions on noisemakers, signs, appropriate attire, profanity, vulgar language, or gestures.

Be visible and available to assist as the event coordinator.

Work with home coaching staff to identify pre‑game needs and coordinate event duties.

Keep aisles and exits clear and unlocked.

Coordinate special activity nights, extended half times, and parent and senior nights with the athletic office and coaches, and communicate details to opposing coaches, administration, and officials.

Enforce district and league regulations and guidelines for the contest being played.

In an emergency, if no building administrator is present, act to ensure safety of all participants and spectators, following emergency guidelines and procedures.

Provide first aid and decide when to call emergency personnel in case of injury or accident.

Prior to the event, confirm that all volunteer and game workers (ticket takers, security, table help, announcer, press box help, clock and book workers, etc.) are in place and that a communication plan exists for last‑minute changes.

Work with the athletic training staff to handle participant and spectator safety and any medical issues.

Identify and collaborate with police and security personnel for parking or security issues.

File accident reports when injuries or accidents occur at events.

Maintain working knowledge of the sound system, volume, and music during events.

Assist custodial staff with emergency plans for equipment malfunctions and power outages, including communication and backup plans.

Assist with tear‑down of athletic fields/game areas per the building administrator’s direction and with custodial staff.

Ensure all event equipment is put away and secured.

Ensure all offices, locker rooms, and other non‑event areas are locked and secured during the event.

Work with custodial staff to address restroom issues and keep restrooms stocked, clean, and functional.

Communicate with custodial staff, ticket staff, training staff, administrators, and coaches before, during, and after the event via cell phones, radios, etc., and secure devices after the event if needed.

Ensure ticket staff is present, doors are unlocked, and event security is on site.

Work with the Athletic Office and ticket personnel to ensure rosters/programs are available at the ticket entrance.

If needed, assist ticket sales staff with ticket/gate reconciliation.

If needed, manage gate and concession deposits.

Communicate with the athletic office after the game or event about any problems, incidents, or matters that need follow‑up.

Other duties as required.

Skills, Knowledge and Abilities:

Strong communication skills.

Ability to work positively with students, parents, and community members.

Knowledge of district and league regulations and guidelines for each event.

Ability to move, lift, and set up event equipment.

Knowledge or ability to learn how to set up and use the sound system and scoreboards.

Ability to work with coaches, officials, and administrators to assure a safe environment for participants and spectators.

Ability to provide leadership that ensures student and spectator safety in emergency situations.

Ability to address challenging conflict and situations with unruly fan or spectator behavior during games and work with security personnel.

Experience:

Experience working with students and community at athletic events required. Coaching or teaching experience preferred.
