Admissions Manager

Leads, directs, and manages the operations of the Admissions Departments at Rutland Nursing Home (RNH) and Schulman and Schachne Institute for Nursing & Rehabilitation (SSI) in accordance with local, state, and federal regulations, standards, and established facility policies and procedures.
Responsibilities

Review and standardize, wherever feasible, all policies, procedures, protocols, programs, workflows, and admission agreements at both RNH and SSI.
Monitor and manage the census of all service lines at RNH and SSI to ensure the budgeted occupancy is exceeded.
Manage and coordinate activities involved in scheduling residents' admissions and daily bed assignments for incoming residents and transfers within and out of the facility.
Review Nursing 24-hour report on a daily basis to monitor bed vacancies and suggest room changes as appropriate.
Verify census for accuracy before distribution via email to all departments and administrative staff.
Maintain an accurate record of available beds and provide information to other disciplines. Monitor bed hold cases and check status of all hospitalized residents.
Respond to Allscripts/Careport in a timely manner.
Ensure that potential admissions are appropriately screened for all required authorizations, clinical, and financial criteria.
Distribute new admission bed assignments to all appropriate departments, including Security.
Ensure that the facility admission agreement is signed by resident/designated representative for all new admissions and scanned to Finance.
Provide dialysis with all required documentation for new admissions, and once approved, secure a slot.
Maintain accurate and current statistics on all Patient Review Instruments (PRI) received. Process and file in accordance with Federal and State requirements.
Work closely with Medicaid staff and billing to identify problem cases to avoid a lag in receivables. Communicate changes in payer to billing staff.
Monitor discharge planning calendar and make recommendations.
Ensure that eligible residents are enrolled in Part B and Part D. Inform Social Worker to make referrals to Social Security if resident is Part B eligible.
Respond to all resident and family concerns and ensure that issues are resolved in a timely manner. Inform appropriate discipline(s).
Work closely with Marketing & Outreach, Nursing, Social Services, Case Management, and other facility departments while maintaining a positive rapport.
Market the facilities to acute care and other referral sources, including community agencies. Work with other disciplines on open-house functions and assist in developing marketing materials.
Network with other institutions to facilitate the admission and transfer of individuals.
Assist potential residents and their families by coordinating tours of the facilities and answer questions regarding the facilities and admissions process.
Direct, supervise, and evaluate work activities of Admissions Department personnel. Participate in hiring, training, promoting, terminating, and placement of staff to promote an atmosphere of learning and excellence.
Develop and implement effective and efficient service delivery model. Identify, recognize, match, and utilize team strengths and skills with department demands. Organize workflow and set priorities and goals for the team.
Represent the Admissions Department in facility-wide committees.
Maintain appropriate application of policies and procedures, objectives, and programs; evaluate the effectiveness of processes and make recommendations for change, as necessary.
Ensure that all activities are in compliance with applicable laws and rules, including HIPPA and regulatory agencies. Maintains confidentiality of protected health information, including verbal, written, and electronic communications.
Participate with Administrators in developing a budget.
Review, respond to, and participate in federal, State, local, and other external surveys and inspections.
Prepare departmental statistical reports and provide data to other disciplines as needed.
Responsible for the auditing of all admissions activities.
Participate in Quality Assurance/Performance Improvement (QAPI) initiatives and activities.
Carry out additional responsibilities as assigned by Administrators - RNH & SSI.
Qualifications

Education:
Bachelor's degree required.
Master's Degree preferred.
Experience:
At least three (3) years admitting experience.
Physical Requirements:
Consistent with that necessary to work in a variety of office settings.
Position requires prolonged periods of standing, reaching, and walking throughout the workday.
Position will be required to stoop, bend, lift, and carry items weighing up to 25 pounds for routine performance of essential functions.
