Position Overview

We are seeking a highly organized Proposal Coordinator with 3-5+ years of experience supporting transportation infrastructure pursuits. This individual will play a critical role in coordinating, developing, and delivering compelling proposals for FDOT, local governments, and other public agencies.

The ideal candidate has experience managing multiple deadlines, collaborating with technical teams, and producing polished, compliant proposal packages from start to finish.

Qualifications:

3-5+ years of proposal coordination or marketing experience within the AEC (Architecture, Engineering, and Construction) industry

Strong experience supporting transportation infrastructure pursuits, including FDOT and local government proposals

Demonstrated experience preparing and coordinating:

Letters of Response (LORs)

Requests for Qualifications (RFQs)

Requests for Proposals (RFPs)

SF330s

Staff resumes and project profiles

Organizational charts:

Interview presentations and leave-behind materials

Familiarity with FDOT procurement processes and proposal requirements

Exceptional writing, editing, proofreading, and document formatting skills

Highly proficient in Microsoft Office Suite (Word, PowerPoint, Excel)

Experience with Adobe Creative Suite (InDesign preferred) is a plus

Strong organizational skills with the ability to manage multiple concurrent pursuits and tight deadlines

Excellent communication and collaboration skills, with the ability to work effectively across technical and marketing teams

Preferred Qualifications:

Experience supporting engineering, surveying, transportation, or infrastructure consulting firms

Knowledge of CRM and proposal management software

Experience coordinating interview preparation and presentation materials

Understanding of public-sector procurement and qualifications-based selection (QBS) processes

What You'll Do:

Coordinate and manage proposal development from kickoff through submission

Prepare, edit, and format RFQs, RFPs, LORs, and SF330 packages

Maintain and update staff resumes, project descriptions, and marketing collateral

Collaborate with technical staff to gather content and ensure proposal compliance

Develop interview presentations, organizational charts, graphics, and other pursuit materials

Track proposal schedules, deadlines, and submission requirements

Ensure all deliverables meet quality standards, branding guidelines, and client requirements

Support business development efforts by maintaining proposal databases and marketing assets
