PART-TIME OR FULL-TIME | IN-PERSON | EXECUTIVE OPERATIONS + PERSONAL SUPPORT + GROWTH
Executive & Personal Assistant to Founder/Host
- James Goldman is seeking a highly capable Manhattan-based right hand who can manage executive priorities, personal logistics, communications, research, writing, and coordination across an evolving media business - not simply push paper.
LOCATION
- Manhattan Upper East Side, New York City - highly in person. This is not a remote position and includes direct work with James on both business and appropriate personal-life logistics.
SCHEDULE
- Part-time: approximately 16-24 hours/week. Full-time is also available for an exceptional candidate. Opportunity to grow with the business.
COMPENSATION
- Part-time: $70-150/hour depending on experience and scope. Full-time: $100,000+ depending on experience, judgment, and level of responsibility.
Job Description
- This is a high-trust role for someone who likes being close to the work. James has an intensely in-person workflow and needs an assistant who can absorb context, turn conversations into action, write clearly, organize competing priorities, handle practical personal matters when needed, and keep the producer and remote team aligned. The role can grow toward senior executive operations or Chief of Staff responsibility as MOTVOICE expands.
What You Will Own
- Manage James’s business calendar, meetings, reminders, follow-ups, travel, reservations, appointments, and day-to-day priorities.
- Support appropriate personal logistics and errands with discretion, good judgment, and a service mindset; the personal component is an explicit part of the role.
- Draft and refine emails, outreach, notes, briefs, follow-ups, LinkedIn copy, and other executive communications in James’s voice.
- Research people, organizations, meetings, vendors, opportunities, and topics; summarize what matters and recommend clear next actions.
- Turn meetings and verbal direction into organized task lists, trackers, documents, deadlines, and completed follow-through.
- Coordinate closely with the Podcast Producer on guest scheduling, recording logistics, James’s availability, and handoffs to the remote team.
- Help improve systems as the business grows - this role is expected to learn, anticipate, organize, and raise the operating standard over time.
What We Are Looking For
- Previous professional experience as an Executive Assistant, Chief of Staff, Office Manager, Executive Operations lead, or comparable high-trust support role is required.
- Experience in technology, creative content, media, marketing, communications, or a fast-moving founder-led company is strongly preferred.
- Exceptional written communication, organization, discretion, judgment, follow-through, and ability to switch between executive and personal priorities.
- Comfortable working directly and frequently with James in Manhattan while coordinating with colleagues who may be remote.
- U.S. CITIZEN AND 4 YEAR DEGREE FROM A U.S. COLLEGE OR UNIVERSITY REQUIRED.
Specialties / Software
- Executive support; personal assistance; office management; executive operations; research; content writing; LinkedIn; Google Workspace; Microsoft Office / Microsoft 365; Google Calendar; Slack; Zoom; Notion and/or Airtable; Calendly; task/project management tools; travel and reservation systems; expense/document organization; ChatGPT and other AI productivity tools; remote-team coordination.
How This Role Works With the Other Manhattan Hire
- The Executive & Personal Assistant is James’s operating right hand. The Podcast Producer owns guests, editorial preparation, and recording execution. The Assistant protects James’s time, keeps decisions and follow-ups moving, coordinates personal and business logistics, and makes sure the Producer and remote team have the information they need. Both roles must communicate continuously and use shared systems rather than parallel private workflows.
