Role Overview
The Workplace Experience Specialist oversees the day-to-day operations of our office and plays an active role in the employee experience. This fully on-site role covers a broad scope: facilities and vendor management, hybrid work logistics, onboarding and offboarding coordination, and employee events and culture programming. Reporting to the VP, People, this role is the primary point of contact for anything related to how our office runs and how our people experience it.

Reporting to the VP, People, this role is the primary point of contact for anything related to how our office runs and how our people experience it.
RESPONSIBILITIES
Office Operations & Facilities
Serve as the welcoming face of BÉIS, greeting visitors, managing visitor logs, parking, security passes, and front-of-house operations
Oversee day-to-day office operations to ensure an efficient, comfortable, and well-stocked environment for the team
Coordinate logistics for in-office activities, including photoshoots, team meetings, and catering
Manage incoming and outgoing mail, packages, and shipments
Troubleshoot office equipment and elevate IT issues to the appropriate vendors; maintain hardware and equipment inventory
Maintain office security systems, including key fobs and emergency contacts
Vendor & Supply Management
Manage relationships with office vendors, including utilities, repairs, maintenance, housekeeping, and supplies
Ensure cost-effective procurement of office supplies and coordinate vendor billing processes
Negotiate pricing and service agreements with external partners as needed
Hybrid Work & Space Logistics
Support the rollout and ongoing management of our hybrid work model, including desk coordination, space planning, and in-office scheduling
Act as the on-the-ground point of contact for employees coming into the office, ensuring a seamless and positive experience
Collaborate with People and leadership to anticipate capacity needs and office readiness as in-office cadence evolves
Employee Experience & Culture Programming
Coordinate and execute employee events and culture moments throughout the year, including team gatherings, seasonal celebrations, and milestone recognition
Support onboarding logistics for new hires, coordinating office setup, day-one experience, and workplace orientation
Partner with the People team on offboarding logistics and equipment retrieval
Help bring culture initiatives to life in the physical space – think thoughtful touches that make people feel like they belong here
Administrative & Team Support
Coordinate scheduling, room bookings, and AV setup for meetings and team activities
Support interview scheduling and candidate logistics in partnership with the People team
Handle other related duties as required to keep the team and office running smoothly
EXPERIENCE & SKILLS
3–5+ years of experience in office management, workplace operations, facilities, or a related role
Proven ability to create organized, welcoming, and operationally sound office environments
Experience coordinating events, programs, or employee-facing activities
Strong vendor management and vendor relationship skills
Highly organized with the ability to juggle multiple priorities in a fast-paced, entrepreneurial environment
Excellent interpersonal and communication skills, a natural people person who makes others feel at ease
Proficiency in Microsoft Office Suite and comfort with office management and scheduling tools
Experience supporting onboarding, HR processes, or working closely with a People team is a plus
Ability to lift/move objects up to 25 lbs and perform physical tasks related to office setup and events
Compensation
This position's annual base salary range is from $75,000 – $85,000, depending on experience and qualifications.
