What You'll Do
Plan Intake and Processing

Receive architectural and structural plans from customer submissions, email communications, and other approved sources

Review incoming plan sets for completeness and identify required supporting information

Log, categorize, name, and organize plan documents within company systems and filing structures

Process plan-related documentation efficiently to support Design, Estimating, Production, Sales, and other departments

Ensure plans and supporting documents are stored in the appropriate project or customer locations

Maintain accurate records of plan receipt, processing, and distribution

Revision Tracking and Document Control

Review incoming plan sets and compare revisions to identify updates and changes between versions

Accurately document plan revisions and maintain clear revision histories

Ensure outdated plans are appropriately identified and current versions are readily accessible

Communicate revisions promptly to departments and team members affected by plan changes

Maintain document-control standards to reduce the risk of employees working from outdated information

Follow company procedures for document retention, plan management, and recordkeeping

Plan Library Management

Maintain the accuracy, organization, and integrity of the company’s architectural and structural plan library

Ensure plan records are complete, current, consistently organized, and easily retrievable

Maintain standardized naming, filing, and categorization practices

Identify missing, duplicate, incomplete, or outdated plan documentation

Support ongoing organization and cleanup of electronic plan files and related records

Assist with improvements to plan-library processes and document accessibility

Customer and Cross Functional Coordination

Coordinate with customers and internal teams to obtain missing plans, revisions, specifications, or other required information

Communicate plan-related questions clearly and professionally

Work closely with Architectural, Design, Estimating, Production, Sales, and Operations teams to ensure timely access to current project information

Respond to requests for plans and supporting documentation in a timely manner
Help clarify document status, revision history, and project information when needed

Maintain effective communication regarding outstanding or updated plans

Administrative and Workflow Support

Support departmental workflow by ensuring plan submissions and revisions are processed accurately and on time

Perform accurate data entry and maintain project and customer information within company systems

Assist with scanning, filing, indexing, and electronic document management

Track outstanding documentation and follow up as needed

Prioritize multiple incoming plan requests based on business and project needs

Support continuous improvement efforts related to document control, organization, and workflow efficiency

Perform additional administrative or project-support duties as assigned

Required Qualifications

High school diploma or equivalent required

Strong computer and administrative skills

Ability to organize and maintain electronic documents and records

Ability to read and compare architectural and structural plan documents sufficiently to identify revisions and changes

Preferred Qualifications

Previous experience in administrative support, document control, construction, building materials, architecture, design support, or a related environment preferred

Experience working with architectural plans, structural plans, blueprints, or construction documents preferred

Experience with Autodesk, AutoCAD, or related design/document software is a plus

Familiarity with document management, project management, or plan-management systems preferred

Experience supporting truss, component manufacturing, residential construction, or building materials operations is a plus

Work Environment And Requirements

Work is performed primarily in an office environment

Extensive computer, document-management, and data-entry work throughout the workday

Ability to sit and work at a computer for extended periods

Frequent review of architectural plans, structural plans, electronic documents, and project records

Frequent interaction with Architectural, Design, Estimating, Production, Sales, customers, and other internal teams

Ability to manage multiple requests and deadlines in a fast-paced environment

Occasional visits to production or operational areas may be required

Required PPE must be worn when entering designated operational areas
