Assistant Community Manager

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. This role supports delinquency management and rent collection to optimize the propertys cash flow and financial position. The Assistant Community Manager manages all phases of operations in the absence of the Community Manager, including personnel, leasing, maintenance, financial administration, and risk management. As onsite leader, you will supervise all aspects of the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability concerns.

Essential Duties & Responsibilities

  • Financial Management
  • Responsible for posting all payments and income received from applicants, current residents, and non-current residents accurately and timely.
  • Process and reconcile daily accounts receivable and monitor bad debt, including late notices, resident and guarantor contact, and evictions.
  • Assist the property in meeting budgeted revenues, expenses, and Net Operating Income.
  • Post charges to resident and non-current resident accounts; include bill backs of utilities where applicable.
  • Perform end-of-month closing procedures and reporting; maintain accurate and organized records; audit resident files for accuracy.
  • Walk units and post move-out charges, statements, and security deposit refunds.
  • Personnel Management
  • Maintain regular onsite attendance; screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
  • Ensure staff effectiveness through ongoing training, coaching, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance through supportive leadership; ensure policy compliance and consistency.
  • Strategic Leasing Management; ensure effective leasing techniques, follow-up procedures, lease signing/documentation, and accurate reporting systems.
  • Implement marketing strategies and systems from the annual marketing plan; address resident complaints, concerns, and requests to ensure satisfaction.
  • Develop and implement resident retention programs (e.g., functions, promotions, newsletters); show, lease, and move-in prospective residents.
  • Administrative Management
  • Provide excellent customer service and monitor maintenance service request turnaround and responsiveness.
  • Maintain property appearance and ensure timely repairs; conduct regular property inspections and tours.
  • Assist with supervision of all business functions related to operations.
  • Plan for and utilize property resources, equipment, and supplies economically, including obtaining bids and dealing with vendor issues.

Education/Experience

  • High School Diploma or Equivalent; Bachelor’s degree preferred or two years in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform onsite software functions; basic computer skills required.
  • Basic knowledge of Fair Housing Laws and OSHA requirements.

Physical Requirements

  • Regularly required to remain in a stationary position or move about to accomplish tasks; may involve prolonged standing or sitting and handling objects.
  • Occasional ascent/descent of ladders, stairs, and other access points; ability to work in various environments, including outdoor conditions; ability to lift up to 25 lbs and operate equipment as needed; may require overtime, weekends, or night hours for emergencies.
