Assistant Community Manager – Overview
The Assistant Community Manager oversees, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. The role supports delinquency and rent collection to optimize cash flow and financial position. It also assists in managing all phases of operations, including personnel, leasing, maintenance, financials, administration, and risk management in the absence of the Community Manager. As an onsite leader, you will supervise property operations and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability considerations.
Essential Duties & Responsibilities
Financial Management
- Post all payments and income from applicants, current residents, and non-current residents accurately and timely.
- Process and reconcile daily accounts receivable.
- Monitor and follow up on bad debt, including late notices, resident and guarantor contact, and evictions.
- Help the property meet budgeted revenues, expenses, and Net Operating Income.
- Post charges to resident and non-current resident accounts; include bill back of utilities where applicable.
- Perform end-of-month closing procedures and reporting.
- Maintain accurate records; audit resident files for accuracy.
- Walk units and post move-out charges, statements, and security deposit refunds.
Personnel Management
- Regular/daily onsite attendance is required.
- Screen, hire, train, coach, and develop onsite staff using consistent techniques and company directives.
- Ensure staff effectiveness through ongoing training, coaching, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance through supportive leadership.
- Ensure staff compliance with Company policies and procedures.
- Strategic leasing management and effective staff leasing techniques to achieve closures, follow-up, lease documentation, and accurate reporting.
- Implement marketing strategies and systems from the annual marketing plan.
- Address resident complaints and requests to ensure satisfaction.
- Develop and implement resident retention programs (e.g., events, promotions, monthly newsletter).
- Effectively show, lease, and move in prospective residents.
Administrative Management
- Maintain excellent customer service and monitor maintenance service request turnaround and responsiveness.
- Maintain property appearance and ensure timely repairs, with regular property inspections and tours.
- Assist with supervision of all business functions related to operations.
- Plan for and utilize property resources, equipment, and supplies economically (e.g., obtain bids, manage vendors, ensure quality service).
Education/Experience
- High School Diploma or Equivalent; Bachelor’s degree preferred or two years of housing industry experience, or one to two years related experience and/or training; or equivalent combination of education and experience.
- Ability to understand and perform onsite software functions; basic computer skills required.
- Basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
- Regularly required to remain in a stationary position, communicate with others, and handle tasks requiring hand and wrist movements; may involve moving between worksites.
- Frequently move about to accomplish tasks; occasionally ascend/descend ladders or stairs and work in various environments; may lift and place objects up to 25 lbs.
- Ability to work overtime, weekends, and nights as needed for emergencies.
