ASSISTANT COMMUNITY MANAGER
The Assistant Community Manager oversees, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. You will play a vital role in rent delinquency and collections to optimize cash flow and financial position. You will manage all phases of operations, including personnel, leasing, maintenance, financial administration, and risk management in the absence of the Community Manager. As an onsite leader, you will supervise the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability considerations.
Essential Duties & Responsibilities
- Financial Management
- Post payments and income from applicants, current residents, and non-current residents accurately and promptly.
- Process and reconcile daily accounts receivable; monitor and follow up on bad debt, including late notices and evictions when applicable.
- Assist the property in meeting budgeted revenues, expenses, and Net Operating Income (NOI).
- Post charges to resident and non-current resident accounts and bill back utilities where applicable.
- Perform end-of-month closing procedures and reporting; maintain organized records and audit resident files for accuracy.
- Walk units, post move-out charges, statements, and security deposit refunds as needed.
- Personnel Management
- Regular/daily onsite attendance is required; screen, hire, train, coach, and develop onsite staff using consistent company directives.
- Ensure staff effectiveness through ongoing training, coaching, and guidance in compliance with Asset training benchmarks.
- Promote harmony and quality job performance; ensure staff compliance with company policies and procedures.
- Support strategic leasing management, lease closure, follow-up procedures, and accurate reporting systems.
- Implement marketing strategies and systems from the annual marketing plan; address resident complaints and requests to ensure satisfaction.
- Develop and implement resident retention programs (e.g., events, promotions, newsletters).
- Show, lease, and move in prospective residents.
- Administrative Management
- Maintain excellent customer service and monitor maintenance service request turnaround and responsiveness.
- Supervise property appearance and ensure timely repairs; conduct regular property inspections.
- Assist with supervision of all business functions related to operations; plan and utilize property resources, equipment, and supplies efficiently (vendor bids, pricing, and contract management).
Education/Experience
- High School Diploma or equivalent; Bachelor’s degree preferred or two years in housing, or one to two years related experience and/or training; or equivalent combination.
- Ability to perform onsite software functions; basic computer skills required.
- Basic knowledge of Fair Housing Laws and OSHA requirements.
Physical Requirements
- Regularly stationary for long periods; ability to move about the property, inspect, and assist with tasks; ability to lift up to 25 lbs and work in various environments, including outdoor and indoor settings.
