Assistant Community Manager

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. The Assistant Community Manager plays a vital role in delinquency management and rent collection to optimize the property\'s cash flow and financial position. The role manages all phases of operations in the absence of the Community Manager, including personnel, leasing, maintenance, financial administration, and risk management. As an onsite leader, you will supervise the property and staff to ensure compliance with company policies, safety and fair housing guidelines, and liability concerns.

Essential Duties & Responsibilities

Financial Management

  • Posting all payments and income received from applicants, current residents, and non-current residents accurately and timely.
  • Processing and reconciling daily accounts receivable.
  • Monitoring and following up on bad debt, including late notices, resident and guarantor contact, and filing evictions.
  • Helping the property meet budgeted revenues, expenses, and Net Operating Income.
  • Posting charges to resident and non-current resident accounts; including bill-back of utilities where applicable.
  • Completing end-of-month closing procedures and reporting.
  • Maintaining accurate and organized records; auditing resident files to ensure accuracy.
  • Walking units and posting move-out charges, statements, and security deposit refunds.

Personnel Management

  • Regular/daily onsite attendance is required.
  • Utilizing consistent techniques and company directives to screen, hire, train, coach, and develop onsite staff.
  • Ensuring staff effectiveness through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks.
  • Promoting harmony and quality job performance through leadership and support.
  • Ensuring staff compliance with company policies and procedures.
  • Strategic leasing management; ensuring leasing techniques achieve closure and accurate reporting.
  • Implementing marketing strategies and systems from the annual marketing plan.
  • Addressing resident complaints, concerns, and requests to ensure resident satisfaction.
  • Developing and implementing resident retention programs (e.g., events, promotions, newsletters).
  • Showing, leasing, and moving in prospective residents.

Administrative Management

  • Providing excellent customer service and monitoring maintenance service request turnaround and responsiveness.
  • Maintaining property appearance and ensuring repairs are noted and completed timely via regular inspections and tours.
  • Assisting with supervision of all business functions related to operations.
  • Planning and utilizing property resources, equipment, and supplies economically (e.g., obtaining bids, dealing with vendors and contractors, and addressing service gaps).

Education/Experience

  • High School Diploma or Equivalent; Bachelor\'s degree preferred or two years in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform onsite software functions; basic computer skills required.
  • Basic knowledge of Fair Housing Laws and OSHA requirements.

Physical Requirements

  • Regularly required to remain stationary for periods, communicate with others, and perform tasks requiring fine motor accuracy.
  • Frequently required to move about the property and worksites.
  • Occasionally required to climb ladders or stairs, work in various environments, lift up to 25 lbs, and operate equipment and vehicles as needed; may require overtime, weekends, or night hours for emergencies.
