Job Description
We are seeking a detail-oriented and highly organized Assistant to the Purchasing Manager to support procurement operations across the organization. This role will focus on purchase order processing, documentation and reporting, sourcing, and maintaining accurate records. Strong proficiency in Excel and Google Sheets is required.
Key Responsibilities
- Generate and process purchase orders accurately and efficiently
- Ensure purchase orders include all required information (quantities, specs, delivery schedules, etc.)
- Maintain clear, complete, and accurate documentation for all purchasing activity
- Track monthly and annual spending for events, procurement, and school supplies
- Prepare reports and analyses to support management decisions
- Monitor inventory levels and assist in maintaining optimal stock levels
- Support inventory audits and reconciliations
- Research potential suppliers and product alternatives to identify cost-saving opportunities
- Assist with market analysis to track industry trends and pricing
- Provide general support to the Purchasing Manager and purchasing agent as needed
Qualifications
- Strong analytical and problem-solving skills with excellent attention to detail
- Clear and professional communication skills
- Proficiency in Google Suite and Microsoft Office (especially Excel and Sheets)
- Strong organizational skills and ability to prioritize tasks in a fast-paced environment
- Ability to work both independently and collaboratively
- Positive, “can-do” attitude
