Come join our team!/ppstrongPosition Purpose:/strong/ppThe Administrative Specialist will provide administrative support to the U.S. Department of Energy (DOE)./ppstrongEssential Duties And Responsibilities:/strong/pulliProvide contract administration support to Contracting Officers:/liliAssist with Contract FAR and DEAR clause updates./liliPrepare Language Mods/liliPrepare Mod Checklist, Memo to File, and Continuation Pages for Language Modifications./liliUpdate Conformed Contract/liliUpdate Contract Mod Spreadsheet/liliPrepare and execute Funding Modifications in STRIPES/liliTrack LBNL Gifts by recording in Gifts Log/liliManage and maintain administrative databases to include structure and content (ie: SharePoint)/liliProvide records management and archival support:/liliConvert all paper records into electronic format./liliAdminister Records filing and disposition./liliResearch NARA and DOE Disposition schedules and analyze to determine appropriate records disposition./liliCreate and update Records Inventory Disposition Schedule (RIDS) for Site Office./liliFile correspondence electronically in SharePoint./liliArchive documents to Federal Records Center using the Archives and Records Centers Information System (ARCIS)./liliFile incoming/outgoing documents using the SharePoint electronic database system/liliResearch/ locate letters and documents for staff./liliProvide correspondence, reports, and graphic presentation support using BSO Correspondence Guidelines./liliProvide conference calls/video conferences set ups including coordinating with participants/liliEnsure Senior Level Management meetings are managed and coordinate with outside partners./liliAssist with preparing travel authorizations, making travel reservations, and processing vouchers upon completion of travel./li/ulpstrongAdditional Duties And Responsibilities:/strong/pulliMaintain a close and highly responsive relationship with the day-to-day activities of the managers, supervisors, and staff./liliFunctions effectively independently/liliResponsible for keeping an immediate work area in a neat and orderly condition to ensure the safety of self and coworkers./liliReport any unsafe conditions and/or practices to the appropriate supervisor and human resources. Immediately correct any unsafe conditions to the best of own ability./li/ulpstrongMinimum Qualifications:/strong/ppstrongEducation and Experience:/strong/pulliHS Diploma or GED/lili6 years experience office administration/li/ulpstrongSkills and Abilities:/strong/pulliHigh level of proficiency in time management and ability to follow set procedures and processes./liliAbility to recall/retain a high volume of information/details./liliEffective communication is vital to prevent any misunderstandings and/or misinterpretations/liliProficiency in Microsoft Office Suite and Adobe./liliKnowledge of, or training in, Video Conference systems such as Microsoft Teams or Zoom, Adobe, and SharePoint sharing of documents./liliExcellent proofreading and editing skills/liliMust be proficient in CONCUR and ADTRAV./li/ulpstrongSpecial Requirements:/strong/pulliAbility to pass a background check and drug screening and/or obtain any required security passes and network access./li/ulpstrongPreferred Qualifications:/strong/pulliDOE Experience preferred/li/ulpstrongPhysical Demands:/strong/ppThis position is a sedentary role.
