Executive Assistant / Personal Assistant

Addison Group is hiring an experienced Executive Assistant / Personal Assistant on behalf of our client, a well-established organization within the commercial real estate and investment space. This role provides dedicated support to senior leadership and requires a high level of professionalism, discretion, and adaptability. The position is split evenly between executive-level administrative support and personal assistance, supporting both business and private priorities. The ideal candidate is polished, trustworthy, proactive, and comfortable managing sensitive information while balancing multiple responsibilities in a fast-paced, onsite environment. Key Responsibilities

Executive Support Manage complex calendars, meetings, travel arrangements, and scheduling priorities Serve as a primary point of contact, screening calls, emails, and correspondence Prepare executive materials such as reports, presentations, agendas, and briefing documents Coordinate with internal teams, external partners, and key stakeholders Monitor deadlines, track follow-ups, and ensure action items are completed Provide support on special projects and executive initiatives as assigned Personal Assistance Oversee personal scheduling, travel planning, and day-to-day logistics Handle private correspondence, errands, and confidential matters Liaise with household vendors, service providers, and personal contacts Assist with lifestyle coordination including events, gifts, reminders, and reservations Maintain frequent interaction with the executive's spouse and family-related needs Administrative & Operational Support Maintain well-organized digital and physical filing systems Process expense reports, invoices, and basic financial tracking Safeguard sensitive information with the highest level of confidentiality Anticipate needs and resolve issues proactively before they escalate Qualifications
