Position Summary Responsible for accurately auditing (based upon purchase order review policy and guidelines), interpreting a customer purchase order and entering sales orders in our ERP system. Communicate discrepancy(ies) to appropriate internal team member(s) as needed. Maintains records, correspondence, and soft‑copy files. Monitor, manage, and process a high volume of customer purchase orders received via email, EDI (electronic data interchange), and customer portals. Efficiency, accuracy, and clear written communication are crucial in this role. Provides timely customer service and support to customers. Primary support is internal customers but can extend to external.

Essential Duties and Responsibilities

Responsible for accurately auditing, interpreting a customer purchase order and entering sales orders in our ERP system.

Communicate discrepancy(ies) to appropriate internal team member(s) as needed.

Maintains records, correspondence, and soft‑copy files.

Monitor, manage, process a high volume of customer purchase orders received via email, EDI, and customer portals.

Ensure efficiency, accuracy, and clear written communication.

Provide timely customer service and support to customers.

Primary support is internal customers but can extend to external.

Understand that this list is not exhaustive and may include other duties as assigned.

Ability to manage and successfully complete a high volume of customer purchase order processing for extended periods with efficiency, accuracy, and a sense of urgency.

Seek continuous improvements in processes, guidelines, and customer service to gain departmental efficiency, improve customer satisfaction, and reduce response times.

Present identified improvements with suggestions and next steps.

Maintain awareness to detail within high‑volume tasks that could increase revenue, reduce costs, or increase customer satisfaction.

Creates and maintains customer contact information in the database.

Provides timely processing of customer purchase orders and internal orders via email, EDI, and customer portals, ensuring swift, complete, and accurate order processing to the highest standards.

Examines and verifies documents for correctness, appropriateness, and accuracy and follows up on discrepancies owned.

Trigger Order Receipt Confirmations (ORC) for all purchase orders entered that are fully accepted.

Updates and maintains customer purchase order and correspondence records in soft‑copy.

Supports the continuous improvement and success of the customer relationship management tool through data monitoring, modification, and task/project completion.

Keeps detailed records of customer interactions, transactions, inquiries, and complaints, ensuring appropriate actions are taken.

Demonstrates flexibility to change planned daily activities to accomplish tasks with immediate urgency and short‑term deadlines in support of customer commitments or company objectives.

Backs up other members of the inside sales team during peak periods or absences.

Willing to work overtime as workload dictates and is approved by the inside sales manager in advance.

Assist in special projects and/or additional duties as assigned.

Regular and predictable attendance is required.

Education and Experience College level coursework in business, marketing, or a related field, plus two years of related work experience. Basic sales, business, and finance skills are required.

Computer Skills ERP experience is preferred; EPICOR experience desired. Microsoft Office is the standard, but the willingness to learn is important.

Mental Demands Ability to concentrate and focus on detailed information for extended periods. Requires repetitive reviewing of numbers and other information with near‑mistake‑free work performance.

Physical Demands This employee must be able to move 25 pounds and sit and type for extended periods.

Work Environment This position requires spending most of your time in an office environment.

Compensation Pay Range: $22-28 (annualized for all non‑MFG positions, even if hourly). Status: Non‑Exempt. Other Compensation Offered: Bonus – this position is eligible for an annual bonus based on company performance. Salaries are based on candidate experience, qualifications, and location.
