Program Overview RIVA Solutions supports the Defense Health Agency (DHA) Strategic Communications mission by delivering comprehensive Public Affairs and communications coordination services. This program enhances operational efficiency within the Public Affairs Office (PAO) by managing communications workflows, media inquiries, reporting, and stakeholder engagement in accordance with Department of Defense (DoD) standards and federal Public Affairs guidance.
The effort focuses on ensuring accurate, timely, and compliant communication processes while maintaining high standards of professionalism and operational excellence within a fast-paced federal environment.
Position Overview RIVA Solutions is seeking a Public Relations Administrative Coordinator to serve as the organizational and administrative hub for the DHA Public Affairs Office (PAO) at Fort Detrick, MD.
This role manages centralized communications workflows, oversees inquiry tracking, and provides high-level administrative and operational support to ensure the PAO functions effectively and efficiently. The position requires exceptional organization, professionalism, discretion, and the ability to manage high volumes of information in a structured, compliance-driven environment.
The ideal candidate is detail-oriented, proactive, and capable of maintaining workflow visibility while supporting leadership and cross-functional communication coordination.
Core Responsibilities PAO Communication Management
Manage and monitor the PAO email inbox, ensuring all incoming inquiries are logged, tracked, and routed appropriately
Coordinate timely responses to external inquiries in accordance with established Public Affairs timelines
Maintain visibility into inquiry status and proactively follow up to ensure completion
Ensure all communications align with DoD/DHA Public Affairs policies and professionalism standards
Administrative & Operational Support
Provide day-to-day administrative support to the PAO team, including scheduling and workflow coordination
Maintain organized records of inquiries, responses, and communications for reporting and audit purposes
Develop and maintain tracking tools (logs, dashboards, metrics reports)
Support document management and version control of PAO materials
Coordination & Stakeholder Engagement
Serve as a central coordination point between PAO staff, leadership, and external stakeholders
Assist in preparing standardized correspondence and response templates
Coordinate internal reviews and approvals to ensure quality and compliance
Support cross-functional collaboration to align communications with organizational priorities
Process Improvement & Reporting
Identify opportunities to enhance communication workflows and tracking processes
Generate routine reports on inquiry metrics and response timelines
Assist in maintaining and updating standard operating procedures (SOPs)
Minimum Qualifications
Bachelor’s Degree in Communications, Public Relations, Journalism, English, or related field
Minimum 3+ years of professional experience in communications, administrative coordination, or related field
Experience supporting DoD, DHA, or federal Public Affairs environments
Strong organizational and time management skills
Excellent written and verbal communication skills with high professionalism
Proficiency with Microsoft Office Suite (Outlook, Excel, Word, Teams) and collaboration tools
U.S. Citizenship required with the ability to obtain and maintain a Federal Public Trust clearance
Preferred Qualifications
Experience supporting federal or government Public Affairs environments
Familiarity with tracking systems, shared drives, and records management practices
Experience managing high-volume inbox or centralized communications workflows
Understanding of Public Affairs processes and communication protocols
Salary Salary: $100,000 a year with benefits
