Pipeline Management & OwnershipOwn day-to-day movement of the sales pipeline to ensure no opportunities stall or go unaddressed Track inbound leads and proactively drive next steps from initial contact through scheduled strategy call Re-engage cold or unresponsive prospects through consistent, professional follow-up Maintain awareness of pipeline status, identifying bottlenecks and escalating when needed Scheduling & CoordinationManage scheduling for introductory and strategy calls across the sales team Coordinate calendars to maximize efficiency and minimize gaps or delays in the sales process Confirm appointments and ensure prospects are prepared ahead of meetings Client Communication & IntakeServe as an initial point of contact for prospective clients via phone, email, and video Gather relevant client information, documentation, and context prior to sales conversations Set clear expectations with prospects on process, timing, and next steps Deliver a professional, responsive, and organized first impression of the firm CRM & Data ManagementMaintain accurate, real-time updates in CRM tool across all lead and client records Document all interactions, notes, and next steps to ensure continuity across the team Ensure data integrity and consistency to support reporting and decision-making Sales Support & Proposal CoordinationPrepare call notes, summaries, and key insights for the sales team Assist in coordinating proposals, engagement materials, and follow-up documentationEnsure all required information is gathered and organized prior to proposal delivery Reporting & Process ImprovementSupport tracking and reporting on key sales metrics (lead flow, conversion, pipeline movement) Identify inefficiencies or gaps in the sales process and recommend improvements Help build and refine repeatable workflows to create a more consistent and scalable sales processQUALIFICATIONS:2+ years administrative, sales support, or customer-facing experienceStrong communication skillsHighly organized and detail-orientedAbility to manage multiple competing prioritiesExperience with CRM systems preferredSelf-starter with strong follow-throughThis role is designed to give a clear picture of what the position involves, but responsibilities may shift as the business grows and priorities change.We offer competitive compensation and benefits that support our team both professionally and personally.EthicsPro Tax | Planning & Strategy is committed to building a team based on merit, respect, and opportunity.
