Overview
Administrative Specialist (HEOa) - Assistant Director of Lifelong Learning POSITION DETAILS Reporting to the Director, CSI’s Administrative Specialist of Lifelong Learning will provide administrative and program support to continuing education programs, oversee day-to-day operations, assist with strategic planning, monitor program data, manage records, coordinate staff trainings, and support grant-related activities. Responsibilities
Provide administrative and program support to the Creative Exchange & Options continuing education programs. Oversee day-to-day operations, including scheduling, distribution of printed and electronic communications, implementation and analysis of student satisfaction surveys, organization and monitoring of student records, coordination of staff trainings, and other activities required by the institution and funder. Assist the Director’s strategic planning by monitoring key performance data, preparing summaries for funder reports, and providing insight for operational improvements and revenue-generating opportunities aligned with the institution’s goals. Coordinate and organize key program events that enhance student retention and engagement, raise program visibility, and strengthen partnerships with other departments and care-providing agencies. Supervise and train support staff and student workers. Provide annual supervision to grant-funded PT employees. Manage budget, coordinate purchasing supply orders, and approve timesheets needed for payroll. Perform other duties as assigned. Qualifications
Required:
Bachelor’s Degree and four years’ relevant experience. Preferred qualifications: 4 years of administrative experience in education, preferably in lifelong learning at a college level working with diverse populations. 2–3 years of experience working collaboratively with instructors, staff and community partners. 2–3 years of experience managing multiple projects simultaneously. Proficient with Microsoft Office and Zoom; strong digital literacy. Excellent communication (written, verbal, interpersonal, analytical) skills. Self-motivated, proactive, organized, and able to work autonomously on projects. Excellent time management and organizational skills; knowledge of administrative practices.
