Position Summary The primary goal of the Leasing Manager is to achieve the predetermined budgeted occupancy rate for their assigned property before the annual student housing Fall Move‑In date.

All leasing and marketing activities and efforts are the responsibility of the Leasing Manager.

Job Specific Competencies

Perform all tasks related to renting apartment homes: generating traffic, responding to telephone and internet inquiries, greeting prospective residents, touring units, qualifying prospects, and closing the sale by obtaining a rental application and a deposit.

Visually inspect the entire property daily for cleanliness and maintain office and model units.

Process rental applications, obtain required documents, schedule move‑ins, and prepare lease file documents.

Maintain lease files per policy and procedure; collect all required documents and oversee compliance of documents such as bonds and insurance.

Accurately record traffic from all sources daily and convert a minimum of 30% total traffic to leases.

Follow up with prospective residents including a phone call within 24 hours and daily text or email. Document all interactions.

Assist with planning and implementing the community marketing plan to generate traffic; outreach marketing visits every week, maintain leads and contacts.

Perform cleaning duties such as picking trash, operating trash compactor, vacuuming, and cleaning apartments to resident‑ready standards.

Document all occurrences that require the Community Director’s attention.

Record resident service requests accurately and in detail to support the service team.

Schedule and inspect apartments for turnkey service; receive and acknowledge resident notices and prepare files.

Assist in the lease renewal procedure: Complete lease renewal printouts and submit to the Community Director for approval.

Contact each resident by phone within 20 days of the renewal campaign.

Send renewal emails to residents unreachable by phone.

Complete new leases and all applicable addenda.

Assemble move‑in packages; report true and current leasing projections to ownership.

Maintain a resident activity log of special arrangements and conversations with prospects and residents.

Monitor activity to reduce no‑shows; keep market surveys of competitor rates up to date weekly and visit competitors three times annually.

Keep all filing current; schedule guest apartment and clubhouse rentals; operate office alarm system for opening and closing.

Deliver thorough move‑in presentations to new residents; calculate daily rent, pro‑rated charges, late fees, and percentages.

Communicate clearly to residents, coworkers, supervisors, and vendors with proper grammar and spelling.

Maintain a clean, neat appearance; adhere to Caliber policy for personal appearance.

Demonstrate customer service skills by treating residents, coworkers, supervisors, and vendors with respect; respond sensitively to concerns or complaints.

Assist the Community Director and Assistant Community Director with additional tasks as required; comply with Caliber policies.

Punctuality and flexibility: be present at scheduled work hours and available for weekends, evenings, and holidays.

Position Qualifications Education:

A Bachelor’s degree preferred; a degree in business, hospitality, marketing, or property management is beneficial.

Experience:

1+ years of leasing experience required.

Computer Skills:

Proficient with MS Word, MS Excel, Google Suite, and Entrata®. Basic typing skills and general computer knowledge required; use of the company’s payroll system is required.

Certificates & Licenses:

Position requires individuals to furnish their own reliable transportation.

Other Requirements:

Excellent written and verbal communication skills; basic understanding of Federal, State, and local Fair Housing laws.

Work Environment The work environment involves everyday risks or discomforts that require normal safety precautions typical of offices, meeting and training rooms, residences, or commercial vehicles. The work area is adequately lighted, heated, and ventilated. Incidents of dirty or hazardous conditions may occur when inspecting vacated units.
