The
Marketing Specialist
at Coffman focuses on the development of prime and subconsultant proposal material, proposal production and data/information management, and representing the department both internally and externally. This role involves collaborating across the company and within the department to achieve objectives, acting as the "go-to" for prime proposal development/production, debriefs, internal/external communication, coordinating client management, and company special events. The Marketing Specialist, while still growing, has knowledge of both architecture/engineering/construction (AEC) marketing and business development (BD) concepts, strategies, and tactics.
This is an exciting opportunity for someone with a passion for proposal writing, marketing and relationship building to join our team. The right candidate will work with our Marketing Manager and our General Manager to lead and support proposal and marketing efforts while also supporting the office's business development strategy.
DUTIES AND RESPONSIBILITIES
Support and lead qualifications-based proposal planning efforts, including pursuit strategy development, and coordination with marketing leadership and project managers.
Support the writing and production of qualifications-based proposals describing technically complex concepts in a way that non-technical readers can understand. Each proposal is custom written, working from various InDesign templates. The response could be a single page or 50 pages. It could be a response in SF330 format or an architect's request for qualifications. Every situation is unique.
Develop proposal schedules and draft outlines; coordinate and prepare resumes, project descriptions, and experience write-ups in collaboration with project managers and technical staff.
Plan, schedule, and facilitate go
o-go discussions with others.
Review daily subscription services for notices of requests for proposals and qualifications; secure and review solicitation documents, determine internal distribution, and manage opportunity circulation.
Actively enter data into the CRM and company info database, maintaining data integrity and consistency.
Maintain relationships with marketing/BD counterparts within Coffman.
Contribute to training and mentoring engineering staff on marketing/proposal-related best practices as needed.
Manage coordination of client management and actively maintain client information.
Join and engage with appropriate AEC industry organizations, including Society for Marketing Professional Services (SMPS).
KNOWLEDGE, SKILLS & ABILITIES
3 to 7 years of professional AEC marketing experience preferred (minimum of 3 years transferable experience).
Degree in related field preferred.
Proficiency in Adobe InDesign and Acrobat, working knowledge of Adobe Creative Suite.
Working knowledge of A/E/C industry terminology, procedures, and basic marketing principles, including Requests for Proposals (RFPs) and Requests for Qualifications (RFQs).
Ability to interpret scopes of work, project requirements, and evaluation criteria to support compliant, competitive proposal development.
Self-starter with the ability to see the big picture, take ownership of pursuits, follow through consistently, and contribute to firm-wide business development goals.
Strong critical thinking, organizational, and analytical skills with the ability to multitask, prioritize, and work effectively in a fast-paced, deadline-driven environment.
Excellent written, verbal, presentation, and interpersonal communication skills, with the ability to collaborate effectively with internal teams, clients, and teaming partners.
Proficiency in Microsoft Outlook, Word, Excel, and desktop publishing tools; experience with marketing databases, CRM systems, and proposal resource files preferred.
Ability to work independently and collaboratively as part of a team, demonstrating professionalism, accuracy, attention to detail, and sound judgment.
Positive contributor to overall office and department goals, culture, and morale.
Must work well under pressure.
