Confidential Opportunity: Executive Assistant – Marketing Team
A well-established private equity investment firm with a collaborative, high-performance culture is seeking an experienced Executive Assistant to support its Marketing Team .
Position Overview
The Executive Assistant will provide high-level administrative support to a Managing Director, Principal, and Vice President , serving as a critical partner in ensuring smooth day-to-day operations and flawless execution across internal and external initiatives.
Location & Schedule
Office: Midtown East, NYC
Hybrid: 3 days in-office (flexibility required; up to 4 days as needed)
Hours: 8:30 AM – 5:30 PM (with flexibility as business demands)
Compensation
Base Salary: $90,000 – $100,000
Bonus: Discretionary
Overtime: Not eligible
Key Responsibilities
Provide comprehensive administrative support to senior team leadership
Manage complex calendars, scheduling, and meeting coordination
Screen and route calls, emails, and correspondence with discretion
Interface regularly with prospects and investors, including meeting coordination and inquiry handling
Track deliverables and ensure deadlines are consistently met
Proactively manage team logistics to ensure meeting preparedness
Coordinate extensive domestic and international travel , including visas and detailed itineraries
Prepare and update presentations using PowerPoint
Maintain and update internal databases and CRM systems
Manage high-volume expenses using Concur
Utilize Salesforce for tracking and reporting
Coordinate client-facing events, including the Annual Investor Conference
Collaborate cross-functionally with internal teams
Qualifications & Experience
5–7 years of Executive Assistant experience in a corporate environment (Financial Services strongly preferred)
Bachelor’s degree preferred
Advanced proficiency in MS Outlook, Word, Excel, PowerPoint
Hands-on experience with Concur and Salesforce
Exceptional organizational and multitasking skills
Ability to operate calmly and effectively under pressure and last-minute changes
Strong judgment, discretion, and respect for confidentiality
Polished, professional demeanor with excellent communication skills
High emotional intelligence and ability to anticipate needs
Self-motivated, proactive, and team-oriented
