Visual and Performing Arts Office Secretary

Facilitate the efficient operation of the Visual and Performing Arts office through administrative and clerical services to the director. Actively engage in actions that contribute to the overall mission and strategic plan of Clear Creek ISD. Qualifications

Education/Certification High school diploma or GED Special Knowledge/Skills Effective communication and interpersonal skills Strong organizational and file maintenance skills Proficient typing, word processing, database processing, and spreadsheet processing Ability to be detail-oriented, to multi-task, and to work independently Experience Minimum of 3-5 years secretarial experience preferably in a public education environment Major Responsibilities and Duties

Provide secretarial support, including filing, typing, processing mail, and ordering supplies, as well as distributing correspondence, reports, and travel arrangements. Research, coordinate, and organize communication and information, then compose, prepare and distribute to appropriate audiences. Maintain and safeguard all confidential records and information. Assist in management of district budgets through the effective tracking of all departmental expenditures, purchase orders, transfers, entry fees, student and teacher travel costs, district bids, and reimbursements. Process all district bus requests for local, regional, and state academic and fine arts travel and field trips; assist in making travel arrangements for campus staffs and students; verify accuracy of transportation costs. Assist in production, distribution, tracking, and revision of all district fine arts curriculum guides and auxiliary materials. Exercise excellent telephone etiquette and respond appropriately to inquiries and requests from the community and district staff in all areas of job responsibility. Work with publishers and the TEA textbook department to disseminate information before, during, and after textbook adoptions. Compile and distribute information, rules, guidelines, and entry forms for all local, regional and state fine arts competitions, exhibitions, and opportunities for students. Assist in planning, preparing, and carrying out district in-service meetings and staff development conferences/workshops. Recommend procedures to systematically manage and report data. Maintain friendly customer-service-driven interactions with all stakeholders, students, teachers, administrators, and co-workers. Work cooperatively with co-workers and supervisors to ensure that the goals of the school/department are met. Maintain a positive and professional tone in all communication (i.e. email, written, and verbal). Perform other duties and accept other responsibilities as assigned. Working Conditions
