Air Import and Export Specialist

The Air Export & Import Specialist is responsible for coordinating international air freight shipments, with primary emphasis on export operations and support for import activities. This position manages shipment activity from booking through final delivery, ensures compliance with regulatory and customer requirements, and works closely with warehouses, carriers, trucking partners, and internal teams to deliver a high level of service.
Duties and Responsibilities

Coordinate air export shipments from booking through departure and final destination notification
Prepare and process shipping documents including HAWB, MAWB, manifests, and AES filings
Ensure shipment files are complete, accurate, and updated in internal systems
Verify documentation is available and accurate for scheduled pickups and deliveries
Perform required security screenings and maintain Known Shipper documentation
Ensure compliance with TSA, FAA, IATA, and customer shipping requirements
Coordinate with warehouse personnel to confirm cargo counts, dimensions, labels, and readiness for tender to airlines
Process arrival notices and monitor inbound flight status for import shipments
Coordinate with customs brokers to support timely cargo clearance
Arrange cargo recovery from airline terminals and final delivery with local transportation providers
Inspect freight for shortages or damage when required and initiate OS&D reporting
Resolve shipment issues, delays, and documentation discrepancies in a timely manner
Provide shipment updates and professional communication to customers, vendors, and internal stakeholders
Support special projects and other duties as assigned

Education and Experience

2–5 years of experience in freight forwarding, logistics, or air freight operations preferred
Working knowledge of international air freight processes and documentation
Knowledge of Incoterms 2020 preferred
Knowledge of IATA regulations preferred
Experience using transportation or logistics management systems preferred
Proficiency in Microsoft Office applications required
Requirements

Ability to work onsite during standard business hours
Flexibility to work overtime as needed based on business demands
Ability to pass TSA-required background screening
Ability to sit, stand, walk, and use a computer for extended periods
Ability to communicate effectively with warehouse teams, drivers, airline personnel, and office staff
