What You'll Do:
Handles confidential information with the highest degree of professionalism with the ability to discuss personal and business matters discretely
Serves as Executive Assistant to CEO, manages CEO's email and calendar and assists keeping the CEO on schedule and ensuring time is allocated to the most critical business and personal commitments
Serves as point of contact for Executive Leadership Team and completes administrative duties for the Weaver family
Schedules meetings and screens/directs calls and responds to external and internal inquiries
Manages business and personal travel for Executive Leadership Team and Company
Analyzes tasks and projects requiring internal and external review, approvals and signatures, tracks and manages initiatives and projects and ensures completion by deadline
Develops and creates complex and confidential reports and presentations
Collects, interprets and analyzes data, troubleshooting, fact-finding and/or investigations areas requested and provides evidence-based recommendations for review and/or action
Coordinates and manages meals for executive meetings, events, and working lunches as requested by the Executive Leadership Team
Oversees executive office operations including supply inventory management, vendor coordination, and facilities needs to ensure a professional and efficient work environment for the Executive Leadership Team
Facilitates communication and liaison activities for the Executive Leadership Team and the Weaver family to include events such as ELT/Spouse dinner and weekend social trip with spouse
Compose a variety of internal and external email messages and confidential correspondence and arranges in-person appearances and appointments for the CEO and Executive Leadership Team
Assists in Board Meeting preparation
Create project plans for the Executive Leadership Team objectives and ensures they stay on target, identifies delays and opportunities
Plans, coordinates, facilitates and participates in strategic level Senior Executive Leadership meetings, professional development sessions and events
Represents and supports the Executive Leadership Team at meetings including quarterly offsites
Coordinates agendas and creates minutes for Executive Leadership Team meetings, Board of Directors and family office meetings
Performs other duties in support of the executive leadership as required
Required for Success:

Strong organizational, multitasking and management abilities with a strong sense of urgency, initiative and ability to get the job done on time
Knowledge of administrative procedures and practices and internal and external customer service principles and practices
Knowledge and application of organizational and time management principles and project management principles
Advanced knowledge of Microsoft Office Suite
Ability to embrace IT technology
Excellent written and verbal communication skills
Strongly skilled in analyzing data and drawing conclusions, independent decision making and problem solving
Ability to utilize AI effectively
