Executive Assistant
We are seeking a highly organized Executive Assistant to support advisors and account managers in a fast-paced, team-oriented environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities effectively.
Key Responsibilities:
Manage complex calendars, meetings, and conference calls, resolving scheduling conflicts
Coordinate client and advisor meeting logistics, including travel and expense reporting
Handle confidential client information with discretion and professionalism
Prepare and distribute correspondence, reports, and internal documents
Serve as a professional point of contact for clients and senior stakeholders
Support onboarding of new hires and client accounts, including data entry
Assist with shipping materials and responding to client requests
Perform general administrative tasks (filing, scanning, invoicing, mail processing, etc.)
Maintain knowledge of company policies and handle routine matters independently
Qualifications:
5+ years of executive or administrative support experience (financial services preferred)
Strong communication, organizational, and multitasking skills
High level of professionalism, integrity, and discretion
Proactive, detail-oriented, and able to work under pressure
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Experience with expense systems such as SAP Concur is a plus
Team-oriented with a positive, can-do attitude
