Billing Specialist

This position is responsible for accurately entering load, rate, and invoice information into the company's billing systems. This role ensures that customers are billed correctly and on time by reviewing driver paperwork, confirming rate details, and preparing information for the accounting department. The position supports the financial health of the trucking operation by maintaining accurate, organized, and up-to-date billing records.
Duties and Responsibilities

Enter load details, rates, misc. charges, fuel surcharges, and other billable items into the billing system
Work with accounting to resolve billing rejections or discrepancies
Billed hours and rate information into the accounting software
Verify that rate confirmations match the agreed billing amounts before invoicing
Review supporting documentation for accuracy prior to processing invoices
Communicate with dispatch and drivers to clarify missing rate info, detention times, empty/loaded miles, or accessorial needs
Follow up with customers regarding billing questions or missing confirmations needed for invoicing
Collaborate with the accounting department to ensure timely payment and resolve account inquiries
Maintain organized digital records of invoices, rate confirmations, and supporting documents
Run billing status reports to track invoicing progress and identify delays
Skills and Abilities

Understanding of trucking rate structures (hourly, tonnage, per load, etc.)
Experience with GPS system
Ability to identify billing discrepancies quickly and resolve issues efficiently
Education and Experience

High school diploma or equivalent; additional accounting coursework a plus
2+ year experience in billing, invoicing, or accounting (transportation industry preferred)
Strong data entry speed and accuracy with a focus on numerical detail
Experience with accounting systems (e.g. Vista)
Proficient in Microsoft 365
Excellent attention to detail and ability to meet billing deadlines
Strong communication skills and professionalism with customers and internal teams
