Responsibilities
The Maintenance Storeroom Coordinator is responsible for managing and overseeing the organization, inventory, and availability of maintenance parts and supplies within a facility’s storeroom. This role ensures that the maintenance team has access to the tools, materials, and equipment they need to perform their tasks efficiently and without delays. The coordinator is tasked with maintaining accurate inventory records, ordering necessary supplies, and working closely with the maintenance and procurement teams to ensure smooth operations. Additionally, the Maintenance Storeroom Coordinator ensures that the storeroom is well‑organized, properly stocked, and compliant with safety regulations.

Essential Duties and Responsibilities

Maintain a clean and orderly 5S storeroom

Work closely with the planning/scheduling department to ensure part availability

Provide inventory reporting to finance; ensure finance approval of all stock adjustments, min/max adjustments and obsolete part write‑off

Build and update the asset bill of materials in CMMS software

Creation and tracking of purchase orders, including escalation for order delays

Monitor and adjust min/max levels and order point information based on part/asset criticality, lead times, and usage frequency

Use best practice inventory management practices

Coordinate activities with other disciplines (purchasing, operations, management, maintenance, engineering) to ensure a high level of support for maintenance activities

Provide monthly KPI reports to the maintenance manager, including but not limited to Audit Accuracy %, % of Inventory Audited, and Total Inventory Level

Coordinate special parts orders with maintenance

Attend maintenance and planning meetings

Maintain open lines of communication

Establish and maintain standard operating procedures for major work systems within the plant storeroom: Parts set‑up, Parts replenishment, Parts issue, Parts return, Parts repair and re‑stock, Parts kitting, Inventory process (Annual and Cycle Count)

Ensure timely and accurate receipt of inventory (physically and in system) for typical and atypical (capital or special projects) orders

Performs all other duties as assigned.

Qualifications
Qualifications & Competencies

High School Diploma or GED preferred

At least 1–3 years of experience in inventory management, material handling, or a similar role, ideally in a maintenance, manufacturing, or industrial environment.

Familiarity with maintenance parts, tools, and equipment used in industrial or facility management settings is highly beneficial.

Knowledge of inventory management software, maintenance management systems (CMMS), or enterprise resource planning (ERP) software.

Ability to communicate effectively with maintenance teams, supervisors, and suppliers to ensure the timely delivery of parts and materials.

Ability to work in varying conditions, including climate‑controlled areas or environments with heavy machinery.

Strong organizational skills to manage inventory, keep the storeroom well‑stocked, and ensure easy access to materials.
