
Executive Assistant

Description We are looking for a highly organized Executive Assistant to provide dedicated support to senior leadership in Birmingham, Alabama. This Contract position focuses on managing complex schedules, coordinating executive-level activities, and ensuring day-to-day administrative operations run smoothly in an in-office environment. The ideal candidate brings sound judgment, strong communication skills, and the ability to manage multiple priorities with discretion.
Responsibilities:
- Oversee and maintain demanding executive calendars, ensuring appointments, meetings, and deadlines are scheduled accurately and efficiently.
- Coordinate domestic and/or business travel logistics, including itineraries, reservations, and schedule adjustments as needed.
- Prepare for executive meetings by organizing materials, confirming attendance, and helping ensure all arrangements are in place.
- Support senior leaders with administrative tasks that improve workflow, responsiveness, and overall office efficiency.
- Manage special projects and follow-up items, keeping work organized and progressing according to established timelines.
- Communicate with internal and external stakeholders in a clear and attentive manner on behalf of executive leadership. Requirements - Demonstrated experience supporting executives in an administrative or executive assistant capacity.
- Strong background in calendar management and coordinating multiple priorities with accuracy.
- Experience arranging travel and handling related logistics for business purposes.
- Ability to support executive meetings through planning, coordination, and preparation of materials.
- Proficiency with Google Suite for scheduling, document creation, communication, and organization.
- Excellent organizational, interpersonal, and written communication skills.
