Operations Administrator and Executive Assistant
Aerolane, Dallas, TX, United States
Aerolane | Dallas-Fort Worth Metroplex (Onsite with Flexibility)
Be the Right Hand Behind a High-Growth Logistics Innovator
Aerolane is reshaping the future of logistics—delivering shipments at near same-day speed, without the premium cost. Through advanced aviation technology and smarter aircraft capacity optimization, we’re driving efficiency and sustainability across air cargo operations.
Founded in 2021, our team blends deep experience in aviation, logistics, and innovation—supporting government, commercial, and defense customers with cutting‑edge solutions.
Now, we’re looking for a highly trusted, detail-oriented, and proactive Executive Assistant / Operations Administrator to step into a pivotal role supporting executive leadership and keeping the business running at full speed.
Why This Role Stands Out
This is not your typical admin role.
You’ll act as a true right-hand partner to leadership, with visibility across both business priorities and day‑to‑day execution. This is a role for someone who thrives in fast-moving environments, anticipates needs before they happen, and can seamlessly switch between strategic support and hands‑on execution.
High ownership and visibility with leadership
Exposure to a fast‑growing, high‑impact company
Blend of professional + operational + personal support
Opportunity to build trust and become indispensable to the business
What You’ll Do
You will be the central force behind organization, communication, and execution:
Executive & Operational Support
Own and manage complex calendars across business, travel, and personal commitments
Coordinate meetings, priorities, and schedules with precision
Serve as a trusted gatekeeper and communicator on behalf of leadership
Track expenses, manage payments, and support budgeting/reporting
Maintain organization across documents, systems, and workflows
Ensure operational excellence with zero room for errors
Communication & Coordination
Draft and manage executive‑level communications (email, notes, follow‑ups)
Coordinate across internal teams, vendors, and external partners
Represent leadership professionally in all interactions
High-Trust, High-Adaptability Tasks
Handle confidential matters with complete discretion
Manage last‑minute requests, travel logistics, and scheduling changes
Support both business priorities and personal logistics when needed
What We’re Looking For
This role is about trust, polish, and execution just as much as experience.
Must-Haves
Exceptional discretion and ability to handle sensitive/confidential information
Strong communication skills (written and verbal)
Highly organized with the ability to prioritize and stay ahead of shifting demands
Comfortable working in a fast‑paced, evolving environment
Based in the Dallas‑Fort Worth area with ability to be onsite regularly
Nice-to-Haves
Experience supporting executives or C‑level leaders
Exposure to finance tasks (budgeting, expense tracking, payments)
Tech‑savvy: Outlook, Excel, Slack, Zoom, etc.
Experience in startups, logistics, or high‑growth environments
Early‑career candidates are encouraged to apply if you bring strong professionalism, polish, and a learning mindset.
Job Details
Primarily onsite in Dallas‑Fort Worth
(critical for this role)
Expect a dynamic schedule—primarily ~40 hours/week, with occasional evenings or travel as needed
Competitive market‑based salary (based on experience)
Strong benefits package
Direct exposure to leadership and company growth
Opportunity to grow with a scaling organization
Additional Requirements
Authorized to work in the U.S. (no sponsorship required)
Willing to complete background check and drug screening
Able to commute to the DFW office
We’re looking for someone who can stay calm under pressure, anticipate what’s next, and operate with absolute trust and professionalism.
If you’re the person who keeps everything running—no matter what’s happening behind the scenes—this is your opportunity to step into a high‑impact, career‑defining role.
