POSITION OVERVIEW
The Family Office Controller serves as the financial backbone of a high-net-worth family's private wealth operations. This is a one-person office role — you own the full accounting function from end to end, including accounts payable, accounts receivable, and everything in between. A CPA license is required and non-negotiable for this position. This is a hybrid role based in Dallas, Texas.
This role manages the complete spectrum of financial operations — from day-to-day accounting and compliance to strategic financial planning and long-term wealth preservation. The Controller bridges operational execution with strategic vision, ensuring accurate financial records while coordinating with external advisors across tax, legal, and investment to optimize outcomes across multiple entities including trusts, LLCs, and investment vehicles.
KEY RESPONSIBILITIES
Accounts Payable & Accounts Receivable
Process and manage all accounts payable and accounts receivable — you handle this directly
Ensure timely and accurate vendor payments, coding, and recordkeeping
Track and follow up on outstanding receivables across all entities
Maintain organized AP and AR records audit-ready at all times
Own the general ledger: journal entries, account coding, and ongoing maintenance
Execute month-end and year-end close — accurate, on time, every time
Prepare financial statements for each entity: LLCs, trusts, and operating companies
Perform bank reconciliations and intercompany reconciliations across all entities
Maintain accurate and timely records for family principals and related entities
Budgeting & Cash Flow Management
Develop and manage budgets and cash flow forecasting across all entities
Monitor actuals vs. plan monthly and flag variances to the principal proactively
Support financial planning initiatives and liquidity management across the portfolio
Investment Oversight
Track and report on private investments, alternative assets, and complex financial instruments
Manage capital calls, distributions, and investor communications
Reconcile investment statements and ensure proper reporting to principals
Tax & Regulatory Compliance
Ensure compliance with IRS regulations, all applicable tax laws, and international requirements
Coordinate with external tax preparers — gather data, review returns, meet all deadlines
Identify and act on tax planning opportunities proactively — don't wait to be asked
Maintain documentation required for multi-entity and multi-jurisdictional reporting
Manage insurance policies, coverage reviews, and claims
Oversee cybersecurity protocols, disaster recovery, and business continuity planning
Serve as primary liaison with banks, fund managers, attorneys, CPAs, and wealth managers
Coordinate information flow and ensure timely execution of advisor recommendations
Internal Controls & Governance
Develop, document, and enforce policies and procedures to safeguard assets and data
Implement appropriate segregation of duties and approval workflows
Strategic Financial Support
Translate financial results into clear, concise insights for the principal
Identify financial trends, risks, and opportunities across the portfolio and raise them proactively
Support financial evaluation of new ventures or investments as the portfolio evolves
Contribute to long‑term planning conversations as a thinking partner to leadership
Understand how day‑to‑day financial decisions connect to long‑term wealth preservation goals
REQUIRED QUALIFICATIONS
Active CPA license required — this is non‑negotiable and the first requirement for consideration
Strong accounting foundation with public accounting, audit, or tax background
Demonstrated experience serving high‑net‑worth individuals, estates, or complex financial structures
Proven hands‑on experience with AP, AR, GL, reconciliations, and close — you have done this work yourself, not just overseen it
International accounting experience required — multi‑jurisdictional reporting, cross‑border transactions, or global entity management
Advanced Excel skills: financial modeling, pivot tables, and data analysis
Proven ability to work effectively with successful individuals and navigate complex investment portfolios
Unquestionable integrity and absolute discretion with confidential financial information
PREFERRED QUALIFICATIONS
MBA or advanced degree in finance, accounting, or related field
Prior family office or private wealth management experience
