Facilities Coordinator
Reports to the Director of Infrastructure Maintenance.

The Facilities Coordinator provides comprehensive administrative, fiscal, and project coordination support for Facilities Services. The role ensures efficient campus operations and timely delivery of facilities‑related services across all FRCC campuses.

Work may include occasional remote work, but requires on‑campus presence and occasional travel to the three FRCC campuses.

Salary
$51,741 – $54,328 annually.

Responsibilities

Office Management: Process purchase orders, expense vouchers, budget transfers, interdepartmental invoices, and expense transfers related to facilities operations.

Handle travel reimbursement process, create estimates for approval, and complete reimbursement documentation.

Manage Pcard administration, including debits to FOAPs, monthly statements, and information requests.

Maintain Utility Cost and Energy Management spreadsheets and Utilities Pcard.

Monitor and update special event and fleet reservation approvals and tracking.

Identify and implement actions for major purchases; resolve vendor, employee, and departmental fiscal matters.

Manage campus key database, approve or deny key requests, coordinate key distribution, and order locks and key blanks.

Coordinate facilities‑related project activities: develop processes, maintain metrics, track budgets, assist with proposal development, serve as primary vendor contact, and schedule vendor work around building occupancy.

Prepare weekly project reports for the Director, outlining milestones, timelines, and potential issues.

Facilitate weekly departmental meetings to communicate current, upcoming, and completed projects.

Serve as CMMS administrator: user and content management, troubleshooting, vendor coordination, training, and ongoing user support.

Assign work orders, communicate request status to departments, and approve or deny requests without Director approval when guidelines permit.

Conduct historical work order analysis and produce reports by timeframe, work type, location, assignee, and requester.

Supervise mailroom and receiving dock operations, manage courier scheduling, oversee monthly postage reports, and operate Qtrak package tracking.

Hire, train, and supervise the performance of Material Handler I.

Maintain Larimer Campus Asset Inventory System: tag equipment, update records, create barcodes, document disposals, and manage sale proceeds.

Qualifications

Either an Associate’s degree and 2 years of professional office experience, or equivalent project coordination experience;

OR a Bachelor’s degree with demonstrated project coordination experience;OR 4 years of professional office experience.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
