
Legal Administrative Assistant III

This position provides complex administrative and litigation support to Sr. Legal Counsel and the Collection and Subrogation Paralegals.
Purpose
The purpose of this position is to provide complex administrative and litigation support to Sr. Legal Counsel and the Collection and Subrogation Paralegals.
Essential Job Functions And Duties
Receive and review subpoenas and request for information, determine validity and compliance with HIPAA, gather, identify, prepare, and copy information in response to subpoenas, requests for information
Receive and review proof of claim forms for class action litigation, track case, gather, prepare, and copy information in response
Provide daily support including preparing letters, reviewing files, updating database, and tracking due dates for subrogation cases; serve as backup for subrogation paralegal
Monitor and track claims paid for work‑related injuries, request overpayments and provide lien amounts to attorneys
Prepare and assemble memos, agendas, information, and reports for certain Board of Trustee meetings
Review and edit documents for consistency, completeness, and accuracy
Prepare documents and correspondence requiring knowledge of legal terminology and document formats, such as correspondence, memos
Coordinate, assemble, and maintain Legal department records and documents in appropriate files, including litigation, collection, subrogation, and subpoena files
Assist in preparation of reports, logs, dockets, and other documents including data entry, copying, collating
Pull, file, scan, copy, fax, mail, or otherwise disburse documents and maintain associated logging system
Research state government sites for company unclaimed property, fill out forms and provide necessary documentation and information
Answer telephones, take messages, and provide support for paralegals and attorneys who are out of the office
Create and update dockets and spreadsheets of data
Set goals and achieve measurable results
Contribute ideas to plans and achieving department goals

Essential Qualifications
Years of Experience and Knowledge
5 ~ 7 years of related experience minimum (law firm or corporate legal department preferred)
Working knowledge and experience in routine administrative functions
Experience with Employee Retirement Income Security Act (ERISA), HIPAA, Employee Benefits and Health Care experience preferred
Education, Licenses, and Certifications
High School Diploma or GED
Skills And Abilities
Intermediate level Microsoft Office skills (PowerPoint, Word, Outlook)
Intermediate level Microsoft Excel skills
Experience with Microsoft Planner a plus
Intermediate level Adobe
Beginner level system(s) skills in LexisNexis preferred
Detail oriented and multi‑tasking skills
Organizational, analytical and follow‑up skills
Ability to work independently, establish priorities and adhere to deadlines
Interpersonal and team skills
Communication skills (written and verbal)
Ability to type 35 wpm
Salary
Salary $50,100 ~ $61,300. Actual base salary may vary based upon, but not limited to: relevant experience, qualifications, expertise, certifications, licenses, education or equivalent work experience, time in role, peer and market data, prior performance, business sector, and geographic location.
Work Schedule
Monday ~ Friday, 7.5 hours per day (37.5 hours per week) with potential for hybrid work-from-home arrangement.
