Qualifications
Certified Medical Assistant
High school diploma or equivalent required; associate degree or coursework in healthcare administration or a related field preferred
Previous experience in healthcare, administrative, customer service, or call center setting is a plus, but not required
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively
Excellent communication skills, both verbal and written, with a professional and friendly demeanor
Comfortable using computers, email, and basic software systems (EHR/EMR experience is a plus but not required)
Ability to handle sensitive information with confidentiality and professionalism
Strong attention to detail and accuracy when tracking and entering information
Ability to work independently while also collaborating with a team
Willingness to learn new processes and adapt in a fast-paced environment
Key Responsibilities
Triage incoming intake calls and route them to the appropriate coordinator based on location, providing basic status updates and ensuring a smooth handoff
Review and process incoming faxes daily, distributing referrals and documentation to the appropriate assigned staff in a timely manner
Assist with scheduling new patient admissions, including coordinating availability and confirming appointment details
Support rescheduling efforts for patients who missed their initial admission visit, including coordinating and confirming follow-up attempts
Maintain and update the daily log, including tracking admissions and coordinating with nurse practitioners on visit confirmations or rescheduling
Send welcome emails to new patients, including all necessary forms and resources
Verify that referrals from multiple sources are accurately received, documented, and entered into the tracking log
Perform other coordination and support duties as assigned to meet operational needs
