Client Service Coordinator
The Mom Project, Eagle, ID, United States
Overview
We are a growing wealth management firm led by established leaders in the financial planning space with over 2 decades of experience. We are committed to delivering exceptional client experiences through precision, professionalism, and trust. Our work matters deeply to our clients, and we operate with a high level of accountability, organization, and care.
We are looking for an
Executive Assistant & Client Service Coordinator
who thrives in a fast-paced, detail-oriented environment and is excited to build a long-term career in operations. This is not just an administrative role—with the right person, it’s an opportunity to eventually become a key operator within a high-performing team. For this position, flexibility is an option, though most weeks, we’d love to have someone available between the hours of 10am-2pm or 3pm, if possible, and someone who might be local to Boise who could help with in-person projects like gifts, client events, and mail sorting occasionally.
What You’ll Do
Client & Administrative Support: Prepare, process, and manage client paperwork with precision and accuracy; Maintain highly organized digital filing systems; Track and follow up on outstanding items to ensure nothing falls through the cracks
Scheduling & Client Experience: Coordinate and manage client meeting schedules; Support a high-touch, welcoming client experience; Communicate professionally with clients and team members
Reporting & Operations: Download, organize, and maintain client reports and statements; Accurately log all client interactions and documentation in CRM; Identify and suggest process improvements and efficiencies
Marketing & Engagement: Assist with basic marketing initiatives and projects; Coordinate and send client gifts for milestones and special occasions; Support client events and engagement efforts
Office & Local Support: Run occasional local errands (if in Boise area); Help maintain a polished, professional office environment
What We’re Looking For In This Position
Someone who is highly detail-oriented with strong organizational skills
Exceptional follow-through and sense of ownership
Warm, professional, and client-focused demeanor
Strong written and verbal communication skills
Proficient in Microsoft Office and general PC tools
Ability to take direction and also work independently
Proactive problem solver with a “figure-it-out” mindset
Interest in financial services and building a long-term career in the industry
Professional Expectations
Meet deadlines and communicate proactively if timelines shift
Acknowledge requests promptly and maintain strong communication habits
Take full ownership of responsibilities and follow through without prompting
Maintain strict confidentiality and discretion
Double-check work for accuracy—details matter
Approach challenges with solutions, not just questions
This Role Is For You If
You take pride in getting the details right
You naturally follow up and close loops
You enjoy creating order and structure
Optional: You want to grow into a long-term career, not just hold a job
This Role Is Not For You If
You struggle with organization or attention to detail
You prefer minimal structure or loose processes
You avoid follow-up or accountability or dislike working in a fast-paced environment
