Project Accountant

A growing organization is seeking a Project Accountant to support project-level accounting, billing, and financial compliance. This role is responsible for monitoring project progress, preparing invoices, tracking receivables, and ensuring accurate documentation throughout the lifecycle of active projects.

The Project Accountant works closely with project managers, subcontractors, customers, and internal accounting teams to ensure timely billing, collections, and financial accuracy. This role is well-suited for a detail-oriented individual who enjoys coordinating across teams and maintaining ownership of project files from setup through closeout.

Key Responsibilities

Prepare monthly customer invoice packages for all billable projects, including required supporting documentation.

Ensure billings, sales tax reports, lien waivers, releases of claims, and other required project documentation are accurate and submitted on time.

Understand and follow compliance requirements for assigned projects.

Issue large purchase orders by entering data into the accounting system and routing for execution.

Prepare and issue subcontract agreements, routing contracts for proper execution.

Audit subcontractor billings against contract terms and research discrepancies.

Enter subcontractor invoices for processing and approval, and follow up on missing or incomplete documentation.

Prepare and track general contractor change orders, ensuring proper documentation, coding, submission, and record retention.

Serve as a point of contact for employees, vendors, and customers regarding billing, subcontracts, and change orders.

Build and maintain working relationships with project accountants and project managers.

Track outstanding receivables and perform collection outreach as needed.

Coordinate with cash receipts team members to resolve application variances.

Maintain organized billing files for all projects, including invoices, waivers, and related backup.

Provide administrative support such as preparing correspondence, reports, and forms.

Support special projects as assigned.

Provide periodic coverage for administrative or front‑desk duties as needed.

Promote teamwork and collaborate effectively with coworkers.

Qualifications

Bachelor’s degree from an accredited four‑year institution or equivalent combination of education and experience.

One to two years of accounting or project‑related experience preferred.

Strong understanding of basic accounting and billing processes.

Ability to analyze data, research discrepancies, and resolve issues independently.

Strong written and verbal communication skills.

Proficiency with accounting systems and Microsoft Excel, Word.

Ability to manage multiple priorities and meet deadlines.
