Responsibilities

Comply with applicable federal and state laws and regulations, accreditor standards, and institutional policies and procedures, including those related to student enrollment.

Receive inbound inquiries and conduct outbound phone calls and emails to prospective students using company‑approved telephone guidelines and schedule appointments.

Assess and interview prospective students to determine their needs and goals.

Assess prospective students’ ability to meet Federal Motor Carrier regulations, determining eligibility for employment in the transportation industry, including driving record and ability to pass a DOT Physical and DOT Drug Screen.

Develop referrals and personal leads.

Conduct tours of campus facilities, communicating features and benefits related to prospective student interest and program offerings to enable an informed enrollment decision.

Discuss payment options such as:

Third‑party financing

In‑house financing

Workforce Service/State agency funding

Federal and State Grants

Vocational Rehabilitation

Veteran’s Administration

Private pay

Follow up on inquiries that fail to schedule an interview or fail to show.

Enroll students who meet eligibility requirements, complete all required forms for enrollment and orientation, and monitor enrollment to confirm start dates and completion of admission paperwork. Meet or exceed enrollment objectives.

Prepare and compile all documents in the student file for the first day of class.

Provide employer and placement information to students and record accurate information in the Student Management System.

Update and complete student transcripts and prepare graduation certificates.

Accounts receivables/payables:

Prepare invoices to students, agencies, and other trainees.

Process receipt of checks, cash, and credit‑card charges.

Report student attendance/earnings daily.

Manage/report accounts payable invoices.

Assist Director in monthly account reconciliation.

Qualifications

High School Diploma or GED required.

Prior post‑secondary education admissions experience preferred.

Proficiency with Microsoft Office Suite: Word, Excel, Outlook.

Working knowledge of office equipment.

Excellent communication and interpersonal skills, including problem solving and conflict resolution.
