
Billing Specialist

This position involves managing end-to-end client billing processes, including setup, invoice generation, and collections, while collaborating with attorneys and staff to optimize workflows. The Client Accounting Specialist plays a critical role in maintaining accurate financial records, resolving billing issues, and identifying process improvements within a dynamic, deadline-driven environment.
Key Responsibilities
Manage client and matter setup, including rates, discounts, invoice formats, and deferrals, ensuring adherence to engagement terms and billing policies
Prepare, review, and distribute prebills; coordinate with attorneys and staff to meet monthly billing deadlines
Generate, review, and audit client invoices, making necessary adjustments for accuracy and compliance with billing standards
Monitor work-in-progress (WIP) and accounts receivable (AR), follow up on outstanding balances, and resolve billing disputes efficiently
Collaborate with attorneys, staff, and clients on new matters, billing arrangements, and resolving billing issues or discrepancies
Utilize financial systems such as Aderant, ARCS, and EIS, along with reporting tools, to support billing, collections, and financial analysis
Develop and implement collection strategies, including negotiating payment plans, processing write-offs, and obtaining necessary approvals
Maintain detailed client records and correspondence related to billing and collections activities
Identify opportunities for process improvements to enhance operational efficiency and client satisfaction
Support attorneys, staff, and clients with billing inquiries, collections, and related financial support
Core Qualifications & Requirements
Proven experience managing full-cycle billing, collections, and revenue processes in a professional services or legal environment (minimum 2-4+ years)
Strong attention to detail, accuracy, and organizational skills
Excellent analytical, problem-solving, and decision-making abilities
Effective written and verbal communication skills across all organizational levels
Ability to prioritize multiple deadlines in a fast-paced setting
Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
Experience with billing systems such as Aderant, ARCS, or EIS, including handling complex billing arrangements and LEDES files
Core Technical Skills
Legal billing systems: Aderant/Elite 3E, ARCS, EIS, LEDES, E-billing platforms
Financial reporting and analysis tools
Microsoft Office (Excel, Word, Outlook)
Billing workflows, accounts receivable management, collections, WIP tracking
