Job Description
The Payroll Analyst is responsible for ensuring accurate and timely processing of payroll, maintaining compliance with applicable laws and regulations, and supporting payroll-related reporting and analysis. This role partners closely with HR, Finance, and external vendors to resolve payroll issues and improve processes.

Responsibilities

Process and review multi‑state payrolls on a regular cycle (weekly, bi‑weekly for the U.S. and weekly or semi‑monthly for Canada).

Audit payroll data for accuracy, including earnings, deductions, taxes, and time‑keeping inputs.

Ensure compliance with federal, state, and local payroll tax regulations.

Reconcile payroll reports, general ledger accounts, and benefit deductions.

Investigate and resolve payroll discrepancies, employee inquiries, and system issues.

Maintain and update employee payroll records in the HRIS/payroll system (e.g., UKG, Oracle, ADP).

Prepare and analyze payroll reports for internal stakeholders, Finance, and auditors.

Support year‑end activities, including W‑2 processing and audits.

Assist with payroll system implementations, upgrades, and process improvements.

Collaborate with HR on changes related to compensation, benefits, and employee status.

Ensure proper documentation and adherence to internal controls and audit requirements.

Process payroll distribution, direct deposits, retroactive payments, voluntary payroll deductions, and research exceptions.

Research, analyze, and resolve payroll‑related issues or questions from employees and internal staff.

Receive and respond to pay‑related inquiries and collect emails from multiple locations for time‑sheet processing.

Make adjustments to amounts paid, including overtime, vacation, sick, bonuses, garnishments, short‑term disability, and maintain garnishments in the payroll database.

Respond to queries from garnishment agencies and issue and record adjustments to pay related to previous errors or retroactive increases.

Compile statistical reports, statements, and summaries related to pay and submit them to appropriate departments.

Process manual checks, voids, stop payments, and direct‑deposit reversals, as needed.

Language Skills
Ability to read and comprehend documents such as safety rules, operating instructions, and procedure manuals; write simple correspondence and routine reports; and effectively present information to one‑on‑one and small groups of customers and employees.

Critical Thinking / Reasoning Ability
Ability to carry out instructions furnished in written, oral, or diagram form; deal with problems involving several concrete variables in standardized situations.

Decision Making Authority
Ongoing supervision is provided on an “as needed” basis. Some independent judgement is necessary to select and apply the most appropriate of available procedures.

Additional Knowledge And Skills

Proficient in Microsoft tools (Word, Excel, PowerPoint, Outlook).

Experience with HR Cloud systems such as Oracle Fusion, Workday, or PeopleSoft.

Strong oral, written, and interpersonal skills.

Strong analytic and problem‑solving skills.

Qualifications
High school diploma or equivalent required. Minimum of three to five (3‑5) years of payroll processing experience. Experience with HR Information Management systems required; UKG (Pro & WFM), Oracle Fusion, Workday, or PeopleSoft preferred. Experience in processing multi‑state payrolls. Knowledge of payroll laws and understanding of federal, state, and local taxes.
